Routine Duties & Responsibilities:
- Manage end-to-end export and import operations, ensuring timely execution of shipments in line with dispatch plans and customer requirements.
- Plan, coordinate, and execute export and import logistics through shipping agents, freight forwarders, CHAs, transporters, and other service providers.
- Supervise container stuffing, customs clearance, and shipment dispatch for international consignments.
- Ensure all shipments are executed on time and as per agreed delivery schedules, proactively handling delays, damages, exceptions, and shipment issues.
- Coordinate import activities including communication with foreign suppliers and fulfillment of all import-related requirements.
- Manage Advance Authorization (Import) and ensure timely fulfillment of export obligations.
- Ensure compliance with Foreign Trade Policy, Customs regulations, DGFT norms, and destination-country statutory requirements.
- Prepare, verify, and maintain all export–import documentation such as Commercial Invoices, Packing Lists, Shipping Bills, Bills of Lading/Airway Bills, Certificates of Origin, and insurance documents.
- Apply for, file, renew, and manage statutory registrations and certifications including FSSAI, APEDA, Spice Board certificates, and DGFT registrations.
- Guide internal teams and customers on Indian Spice Board regulations, Customs procedures, DGFT norms, and foreign trade compliance requirements.
- Maintain accurate soft and hard copies of EXIM and logistics records for audits, inspections, and statutory reviews.
- Analyze purchase orders against available inventory to optimize shipment planning and logistics costs.
- Negotiate commercial terms with shipping lines, freight forwarders, transporters, and other logistics service providers.
- Manage container booking, freight finalization, service provider selection, and marine insurance coverage for all shipments.
- Handle insurance claims related to transit loss or damage and ensure timely settlement.
- Prepare, monitor, and control the logistics and EXIM department budget and verify bills from CHAs, shipping lines, transporters, and vendors.
- Communicate with overseas customers regarding shipment status, documentation, and shipping-related queries.
- Coordinate with government authorities and regulatory bodies for approvals, inspections, and clearances.
- Collaborate closely with Sales, Finance, Production, and Quality teams to align export–import plans and ensure smooth execution.
- Prepare and submit regular MIS, shipment performance reports, compliance updates, and cost optimization insights to management.
- Monitor export–import performance, identify process improvement opportunities, and recommend corrective and preventive actions.
- Ensure clear understanding and adherence to customer-specific legal, statutory, and documentation requirements for each destination country.
- Ensure food safety compliance at the shop floor for export consignments and exercise authority to stop production or reject material in case of deviations.
- Manage and control all export–import activities of the organization with full accountability for compliance, cost, and performance.
Occasional Duties & Responsibilities:
- Contribute to policy formulation and SOP enhancements for export–import and logistics operations
- Step in to manage critical or escalated shipments to ensure business continuity and customer satisfaction
Pay: ₹60,000.00 - ₹80,000.00 per month
