- Manage the Vice President's calendar, appointments, meetings, and travel schedules.
- Coordinate with Project Heads, Department Heads, Consultants, Contractors, and Vendors.
- Prepare MOM (Minutes of Meeting) and ensure timely follow-up on action points.
- Track project progress, pending issues, and report status updates to the VP.
- Prepare daily, weekly, and monthly MIS reports, dashboards, and presentations.
- Coordinate with Sales, CRM, Projects, Finance, Legal, Procurement, MEP, Billing, and Liaison teams.
- Maintain confidential documents, reports, agreements, and correspondence.
- Screen emails, prioritize communications, and draft professional letters and presentations.
- Monitor timelines of ongoing projects and escalate delays to the VP.
- Organize review meetings and circulate agendas and meeting notes.
- Assist in preparing budgets, business plans, and management presentations.
- Coordinate with external consultants, architects, government authorities, and statutory agencies whenever required.
- Maintain records of approvals, project documentation, and important correspondence.
- Ensure timely follow-up on approvals, compliance matters, and inter-departmental coordination.
- Support the VP in strategic planning and execution of key business initiatives.
- Perform any other assignments delegated by the Vice President.
Experience
- 3–10 years of experience as an Executive Assistant to Director/VP/CEO in the Real Estate/Construction/Infrastructure industry (Mandatory).
- Experience working with developers handling residential, commercial, mixed-use, or township projects.
- Exposure to project coordination and management reporting is essential.
