Job Overview:

The Sr. Executive / Executive / Graduate Engineer Trainee (GET) for Projects is responsible for managing the operational and administrative aspects of project dispatches. This role focuses on the precise execution of invoicing, coordinating with transport agencies, and maintaining thorough documentation and reporting to ensure projects are delivered and billed correctly.

Functional Responsibilities:

Oversee and execute Invoicing activities for dispatched goods to ensure financial accuracy.

Coordinate with transporters and agencies for the arrangement of vehicles and timely dispatch.

Manage the complete documentation process for goods in transit, ensuring compliance with project requirements.

Supervise loading activities and ensure dispatched quantities match the relevant invoices and documents.

Conduct proactive payment follow-up with customers and maintain up-to-date collection records.

Prepare comprehensive MIS Reports and status updates for management review.

Liaise between internal departments and external transport partners to resolve logistics bottlenecks.

Utilize MS Office and ERP systems to maintain real-time data on project dispatches and documentation.

Required Skills & Competencies:

Must have professional experience in a commodity field or an engineering company environment.

Strong knowledge of invoicing, logistics, and dispatch documentation.

Advanced proficiency in MS Office (Excel/Word) and working within an ERP software system.

Exceptional organizational skills for managing vehicle loading and document flow.

Effective communication and coordination skills for dealing with transporters and customers.

Strong analytical ability for MIS Report preparation and payment tracking.

Ability to handle multiple project tasks simultaneously and meet tight dispatch schedules.
