Job Description – Receptionist / Administration

Position: Receptionist / Administration Executive
Department: Administration
Location: Sevasi, Vadodara.
Experience: 1–3 years preferred

Job Summary:
We are looking for a well-organized, professional, and responsible Receptionist / Administration Executive to manage front-desk operations and provide day-to-day administrative support. The candidate will be responsible for handling visitors and calls, coordinating with internal departments, maintaining office records, and ensuring smooth administrative operations.

Key Responsibilities:

Manage the reception/front desk and welcome visitors, customers, vendors, and other guests professionally.
Handle incoming and outgoing telephone calls, emails, courier and correspondence.
Maintain visitor records and coordinate visitor entry with the concerned departments.
Receive, sort, and distribute incoming documents, courier, and parcels.
Coordinate with various departments such as Production, Quality, Purchase, Accounts, HR, and Sales for administrative requirements.
Maintain office files, records, registers, and other administrative documentation.
Assist in preparing letters, notices, reports, and basic office documents.
Manage meeting room arrangements and coordinate meetings with visitors/customers.
Coordinate with housekeeping, security, maintenance, stationery suppliers, and other service providers.
Maintain adequate stock of office stationery and general administrative requirements.
Assist HR/Admin in maintaining employee-related administrative records and attendance, wherever required.
Coordinate travel arrangements, hotel bookings, local transportation, and other requirements for employees/visitors, if required.
Ensure proper upkeep and professional appearance of the reception and common office areas.
Support management and senior staff with day-to-day administrative activities.
Maintain confidentiality of company information and documents.
Perform other administrative duties assigned by management.

Required Skills & Qualifications:

Graduate in any discipline; additional qualification in Administration/HR will be an advantage.
Good communication and interpersonal skills.
Proficiency in MS Office, Excel, Word, and email communication.
Good telephone etiquette and professional personality.
Strong organizational and coordination skills.
Ability to maintain records and documentation systematically.
Presentable, polite, punctual, and responsible.
Ability to coordinate effectively with multiple departments.
Prior experience in a pharmaceutical, chemical, manufacturing, or corporate environment will be preferred.

Pay: ₹9,203.88 - ₹15,000.00 per month
