Position: Office Assistanat

Job Summary

Effatha Therapy Clinic is looking for a responsible, organized, and patient-friendly Office Assistant to manage day-to-day administrative operations and ensure smooth coordination between clients, therapists, parents, and the clinic team.

Key Responsibilities

- Manage daily front-office and administrative activities.

- Handle patient/parent enquiries through phone, WhatsApp, and in person.

- Schedule and coordinate therapy appointments and maintain calendars.

- Maintain patient records, files, attendance, and documentation.

- Coordinate with therapists regarding appointments, schedules, and follow-ups.

- Manage billing, fee collection, receipts, and basic financial records.

- Maintain daily reports and administrative records.

- Handle emails, official communications, and documentation.

- Monitor office supplies and coordinate necessary purchases.

- Support staff coordination and daily clinic operations.

- Ensure confidentiality and proper handling of patient information.

- Assist management with reports and other administrative requirements.

- Maintain a professional, welcoming, and organized clinic environment.

Requirements

- 12/Graduate/Diploma in Administration, Management, Commerce, or a related field.

- 1–3 years of experience in office administration, preferably in a clinic, hospital, healthcare, or service environment.

- Good communication and interpersonal skills.

- Basic knowledge of MS Office, Excel, email, and digital documentation.

- Strong organizational and time-management skills.

- Ability to multitask and handle responsibilities independently.

- Good English and Malayalam communication skills.

- Patient, professional, and friendly approach towards children, parents, and clients.

Preferred Skills

- Experience with appointment scheduling or clinic management software.

- Basic knowledge of billing and accounts.

- Good follow-up and coordination skills.

- Ability to handle confidential information responsibly.
