2. Job ResponsibilitiesA. HR Responsibilities
- Maintain employee personal files, joining documents and HR records.
- Support recruitment, interview coordination and joining formalities.
- Prepare attendance, leave and overtime data.
- Assist in payroll data preparation and monthly HR MIS.
- Support employee communication, notices and HR documentation.
- Maintain training, induction and employee engagement records.
- Assist in statutory compliance documentation and audit preparation.
- Coordinate employee queries with the HR department.
B. Administration Responsibilities
- Maintain office and administrative records.
- Coordinate stationery, office supplies and general requirements.
- Maintain visitor, courier and other administrative registers.
- Coordinate housekeeping, security, canteen and other facility-related activities.
- Support company meetings, events and employee welfare activities.
- Maintain proper filing and documentation.
C. Accounts Support
- Assist in preparation and filing of invoices, bills and vouchers.
- Maintain basic records of expenses and payments.
- Coordinate with Accounts for supporting documents.
- Assist in data entry and reconciliation of routine records.
- Maintain proper documentation for audit and verification.
D. Dispatch Responsibilities
- Prepare and maintain dispatch-related documents.
- Coordinate with Sales, Stores, Accounts and Transporters for dispatch activities.
- Check dispatch documents before shipment.
- Maintain dispatch registers and delivery records.
- Follow up with transporters regarding delivery status.
- Report dispatch discrepancies to the concerned senior.
3. Authority
- May coordinate routine HR, Admin, Accounts and Dispatch activities within assigned responsibilities.
- May collect required information and documents from employees and concerned departments.
- May communicate routine instructions approved by the reporting manager.
- May coordinate with vendors, transporters and service providers for routine operational requirements.
- May escalate discrepancies, delays, attendance issues, documentation gaps and compliance concerns to the reporting manager.
- Does not have authority to approve salary, leave, payments, purchases, disciplinary action or statutory decisions unless specifically authorized by management.
4. Accountability
The position is accountable for:
- Accuracy and confidentiality of employee and company records.
- Timely completion of assigned HR, Admin, Accounts and Dispatch activities.
- Correct attendance, leave and HR data.
- Proper maintenance of bills, vouchers, invoices and dispatch documents.
- Timely submission of reports and MIS to the reporting manager.
- Proper coordination between departments.
- Safe custody and systematic filing of documents.
- Immediate escalation of errors, discrepancies or compliance-related issues.
- Following company policies, procedures and management instructions.
5. Required Qualification & Skills
Qualification: Graduate in B.Com / BBA / B.A. / BSW / MSW or equivalent.
Experience: 0–2 years in HR / Admin / Accounts / Dispatch or a similar role.
Required Skills:
- Basic knowledge of MS Office / Excel.
- Good communication and coordination skills.
- Basic understanding of HR and office administration.
- Basic accounting and documentation knowledge.
- Good record-keeping and filing skills.
- Ability to coordinate with multiple departments.
- Willingness to learn and take responsibility.

Responsibility–Authority–Accountability Summary
Responsibility: Execute assigned HR, Admin, Accounts and Dispatch activities accurately and on time.
Authority: Coordinate, collect information, prepare documents and follow up on routine activities within the approved scope.
Accountability: Responsible for accuracy, confidentiality, documentation, timely reporting and escalation of issues to the reporting manager.
Pay: ₹15,000.00 - ₹20,000.00 per month
