We work with corporates, institutions, entrepreneurs, and professionals to build safer, skilled, and future-ready workplaces.

Role Overview

We are looking for a highly organised, proactive, and dependable Executive Assistant who can support senior leadership in managing day-to-day coordination, communication, scheduling, documentation, follow-ups, and administrative responsibilities.

The ideal candidate should be professional, detail-oriented, confident in communication, and capable of handling multiple priorities with discretion and efficiency.

Key Responsibilities

Manage calendars, meetings, appointments, and schedules of senior leadership.
Coordinate internal and external meetings, client calls, training sessions, and events.
Draft and manage emails, official correspondence, proposals, quotations, and follow-up communication.
Maintain important documents, records, reports, presentations, and confidential information.
Track pending tasks, client follow-ups, payments, proposals, and action points.
Coordinate with clients, trainers, vendors, partners, and internal team members.
Prepare meeting agendas, minutes of meetings, and follow-up notes.
Assist with travel arrangements, event coordination, workshops, and training programmes.
Support LinkedIn, business networking, and professional communication activities where required.
Maintain databases, contact lists, calendars, trackers, and MIS reports.
Handle sensitive and confidential information with complete discretion.
Ensure timely completion of tasks assigned by senior management.
Act as a coordination bridge between leadership and internal or external stakeholders.

Skills Required

Excellent written and verbal communication skills.
Strong organisation and time-management ability.
Good command of English; knowledge of Hindi and Marathi is preferred.
Proficiency in Microsoft Office, Google Workspace, email, Excel, PowerPoint, and digital tools.
Strong follow-up and coordination skills.
Ability to multitask and work under deadlines.
Professional etiquette and confident interpersonal skills.
Attention to detail and accuracy.
High level of confidentiality, integrity, and ownership.
Comfortable using AI tools such as ChatGPT for drafting, research, summaries, and productivity support.

Preferred Candidate Profile

Graduate in any discipline.
Prior experience as an Executive Assistant, Personal Assistant, Administrative Executive, Office Coordinator, or similar role is preferred.
Freshers with exceptional communication, organisation, and professional maturity may also be considered.
Candidates residing in or around Mulund, Thane, Bhandup, Vikhroli, or nearby areas will be preferred.

Pay: ₹10,000.00 - ₹12,000.00 per month
