Key Responsibilities
1. Calendar & Time Management
- Manage and organise the Founder’s calendar.
- Schedule meetings, calls and appointments.
- Prioritise meetings based on importance and urgency.
- Coordinate travel and meeting logistics.
- Ensure adequate preparation time between important meetings.
- Protect the Founder’s time from unnecessary meetings and interruptions.
- Keep track of upcoming commitments and important deadlines.
2. Follow-ups & Execution
This will be one of the most important parts of the role.
- Maintain a central tracker of the Founder’s action items and commitments.
- Follow up with department heads, employees, customers, vendors and other stakeholders.
- Track deadlines and pending activities.
- Identify delays and escalate important matters.
- Ensure decisions taken in meetings are implemented.
- Regularly update the Founder on important pending items.
You should be comfortable following up with senior employees and asking:
“What is the status? When will this be completed?”
3. Meeting Preparation & Follow-through
Before important meetings:
- Research the customer, company or topic.
- Review previous discussions and pending issues.
- Gather relevant information, numbers and documents.
- Prepare a concise briefing for the Founder.
After meetings:
- Record key decisions and action items.
- Assign responsibilities and deadlines.
- Follow up until closure.
4. Business Reporting & Information
Help the Founder maintain visibility over important business developments.
This may include:
- Sales and order updates
- Collections and receivables
- Inventory
- Production and dispatches
- Major customer developments
- Customer complaints and issues
- Maxtron sales and dealer activity
- Important operational issues
- Key projects
- Pending decisions
The objective is not to create lengthy reports.
The objective is to ensure the Founder knows:
What is happening? What needs attention? What requires a decision?
5. Founder’s Office / Special Projects
Assist the Founder with important cross-functional projects and initiatives.
Examples may include:
- New product launches
- Customer projects
- Dealer initiatives
- Market research
- Business analysis
- Process improvements
- Preparing presentations and management reports
- Coordinating between multiple departments
- Tracking execution of strategic initiatives
You may sometimes be given a problem with limited instructions and expected to figure out how to get it solved.

Strong spoken and written English is important. You should be able to communicate professionally with senior customers, management and employees.
Trustworthy & Discreet
You will have access to confidential business, financial and customer information.
Integrity and discretion are non-negotiable.
Comfortable with Technology
You should be comfortable using:
- Excel / Google Sheets
- PowerPoint
- Email
- WhatsApp
- Google Calendar / Outlook
- AI tools such as ChatGPT
- Basic business reporting and dashboards
Comfortable with Ambiguity
Not every task will come with a perfectly defined job description.
Sometimes you may simply be told:
“Please find out what is happening with this.”
You should be capable of figuring out the next steps, speaking to the right people and coming back with an answer.
Experience & Qualifications
Experience: 5–8 years preferred.
Candidates with relevant experience in the following areas are welcome:
- Executive Assistant
- Executive Coordinator
- Founder’s Office
- Business Operations
- Management Support
- Project Coordination
- Sales Coordination
- MIS / Business Reporting
Prior experience working directly with a Founder, CEO, MD or senior management is an advantage but not mandatory.
A specific degree or MBA is not mandatory.

Compensation
₹6–8 LPA

- Are uncomfortable following up with senior people.

- Are primarily looking for a conventional secretarial position.
We are looking for someone who wants to learn, take responsibility and grow with the business.
Selection Process
The selection process will include:
- Initial screening
- Interview with the Founder
- Practical problem-solving / organisation exercise
- Final discussion
The practical exercise is designed to assess how you think, prioritise, organise and execute — not simply what is written on your CV.
