Full job description

Front Office & Administration Executive

We are looking for a Front Office & Administration Executive who will be responsible for managing front desk activities along with day-to-day administrative operations. The candidate should be well-organized, professional, proactive, and capable of coordinating effectively with internal teams, visitors, vendors, and service providers.

Key ResponsibilitiesFront Office

Manage the reception/front desk and welcome visitors, clients, vendors, and guests professionally.
Handle incoming and outgoing calls and route them to the concerned team members.
Maintain visitor records, meeting schedules, courier records, and other front office registers.
Receive, record, and distribute couriers, letters, and official documents.
Coordinate meetings, appointments, and visitor arrangements.
Ensure the reception and common areas are clean, organized, and presentable.

Administration

Support day-to-day office administration and ensure smooth functioning of the office.
Coordinate with housekeeping, security, maintenance, transport, and other support service providers.
Monitor office stationery, pantry items, housekeeping materials, and other administrative supplies.
Maintain proper records of office assets, consumables, and administrative documents.
Coordinate with vendors for routine office requirements and service-related issues.
Assist in arranging meetings, training programs, events, and other office activities.
Coordinate office maintenance, repairs, AMC services, and facility-related requirements.
Prepare basic administrative reports, records, and correspondence.
Follow up with vendors and service providers to ensure timely completion of assigned work.
Maintain confidentiality of company information and official documents.
Perform any other duties assigned by management.

Qualifications & Experience

Graduate in any discipline.
2–4 years of experience in front office, administration, facility management, or a similar role.
Experience in a corporate office environment will be preferred.
Good knowledge of MS Office, email, and basic documentation.
Good communication and interpersonal skills.

Language Preference

Hindi, English, and Nepali – proficiency in all three languages preferred.
