I. About Cheenta
Cheenta Academy is an Olympiad and research-oriented mathematics and science institution, serving approximately 1,000 students globally. The institution runs three converging tracks: Olympiad training (age 6+), research and publication (age 14+), and leadership programs connecting students with real-world problems (age 14+). Cheenta operates an academic management platform, Panini8, built in-house.
The Assistant HR and Admin sits within the administrative function, supporting recruitment, onboarding, and day-to-day HR operations, alongside general office administration, for a growing team of faculty, editorial, and operational staff.
II. Role Summary
The Assistant HR and Admin holds two connected responsibilities. As HR coordinator, the role manages sourcing, screening, scheduling, onboarding, and employee records. As administrative support, the role handles correspondence, documentation, and office-level coordination that keeps the organisation running smoothly, working under the direction of the Senior Admin.
III. Responsibilities
A. Recruitment Coordination
i. Post openings, screen applications, and coordinate candidate communication across roles.
ii. Schedule interviews and assessments, and coordinate feedback between candidates and hiring leads.
iii. Maintain a recruitment tracker covering pipeline status, source, and time-to-close for each open role.
B. Onboarding, Records, and HR Compliance
i. Run joining formalities — documentation, ID and access setup, and induction scheduling for new hires.
ii. Maintain attendance, leave balances, and personnel files with accuracy and confidentiality
iii. Coordinate exit formalities, including documentation and clearance, for departing employees
iv. Coordinate payroll inputs, reimbursement documentation, and statutory filings with accounts.
C. Administrative Support
i. Handle organisational correspondence, filing, and documentation for the administrative office.
ii. Support vendor and contract documentation, and coordinate with the Front Office & Facility Executive on office-level logistics.
iii. Maintain administrative records and MIS reports, and assist the Senior Admin and Director with scheduling and reporting.
iv. Act as the first point of contact for employee queries on leave, attendance, and HR or administrative policy.
IV. Required Qualifications
i. Bachelor's degree in any discipline. Preference for candidates with backgrounds in HR, business administration, or a related field.
ii. Minimum three years of experience in HR, administration, or office coordination.
iii. Working knowledge of recruitment coordination, onboarding, attendance/leave administration, and general office administration.
iv. Comfort with spreadsheets, HR/ATS tools, and digital record-keeping and documentation systems.
v. Clear written and spoken English, and discretion in handling confidential employee and organisational information.
V. Preferred Qualifications
i. Prior experience in an educational institution or a similarly people-facing organisation.
ii. Familiarity with Google Workspace, basic HR/ATS platforms, and vendor or procurement documentation.
iii. Basic familiarity with Bengali, for employee and vendor communication.
iv. Exposure to payroll coordination, statutory compliance basics — PF, ESI, professional tax — or general office administration.
VI. Working Conditions
i. Full-time, office-based at 22 Lake Place, Kolkata 700029.
ii. Shift timing: 10:30 AM – 7:30 PM IST, six days a week, including weekends, with one scheduled weekday off.
iii. Six-month probation with a structured review at month three and month six. iv. Equipment, software access, and reference material provided by the organisation.
VII. Scope and Limits of the Role
i. The role executes HR coordination and administrative support within the policy framework set by the Senior Admin and Director. Policy design, compensation structuring, and disciplinary decisions remain with the Senior Admin and Director.
ii. Ownership of the physical workspace and facility maintenance rests with the Front Office & Facility Executive; this role coordinates with that function on office logistics but does not own it.
iii. This is not a standalone HR or Admin leadership position. Final hiring decisions, headcount planning, and administrative budgets rest outside the scope of this role.
Pay: ₹24,000.00 - ₹28,000.00 per month
