Supervises: Housekeeping, Security, Caretaker/Gardener, and outsourced service staff
Location: Residential at Centre (24/7), with defined weekly offs and designated rest hours
Position Overview
The Centre Coordinator (CC) is the primary frontline representative of Access Life at the centre. As the first point of contact for beneficiaries and their families, the CC ensures safety, discipline, hygiene, emotional support, documentation accuracy, and smooth daily functioning of the centre.
The Centre Coordinator resides at the centre (with weekly offs) and provides consistent oversight, stepping in to take full charge of the centre on days when the Centre Manager is on leave or weekly off.
The CC plays a critical role in beneficiary care, centre readiness, donor visit execution, documentation, and facility upkeep. Their work directly shapes the beneficiary experience and forms the backbone of centre operations.
A. Daily Centre Operations & Oversight
Oversee day-to-day functioning of the centre from morning until night as per duty roster.
Ensure the centre is clean, organised, safe, and visitor-ready at all times.
Maintain hygiene standards across rooms, kitchens, common areas, and washrooms.
Oversee housekeeping, security, gardener and all outsourced staff; ensure they follow schedules.
Maintain daily checklists (hygiene, safety, kitchen, rooms, inventory, equipment functioning).
Report maintenance issues to the CM immediately and ensure follow-up until closure.
Ensure drinking water, electricity, kitchen supplies, and sanitation services run smoothly.
B. Beneficiary Support & Family Engagement
Assist families during admission, room allocation, and orientation.
Explain centre rules, safety guidelines, and facilities to new beneficiaries.
Provide daily support to families regarding routines, needs, and minor concerns.
Monitor attendance and participation of beneficiaries in teaching & counselling sessions.
Build rapport with families, creating an environment of trust, dignity, and care.
Maintain discipline and ensure harmonious living conditions among families.
Support families during emergencies and coordinate immediate help.
Escalate any behavioural or emotional issues to the CM and Counsellor.
C. Donor & Visitor Support (Under CM Leadership)
Assist the Centre Manager in preparing for donor & visitor visits.
Ensure the centre is visitor-ready: clean, organised, and presentable.
Assist in organising interactions, distributing items, and coordinating group activities.
Help ensure gratitude cards, group photos, and documentation are completed as instructed by the CM.
Maintain dignity, safety, and sensitivity during all visits.
D. Centre Documentation, Records & MIS
Maintain daily logs: attendance of beneficiaries, staff, volunteers, housekeeping, and drivers.
Update daily reports, registers, and documentation as assigned by the CM.
Maintain incident registers, visitor logs, donation registers, and basic inventory lists.
Track consumables and grocery usage; update daily stock sheets.
Support data collection for MySpace/ERP as required by the CM.
File all documents neatly and ensure audit-readiness of centre records.
E. Inventory, Assets & Centre Upkeep
Maintain registers for groceries, cleaning supplies, equipment, and beneficiary items.
Conduct weekly stock checks and share observations with the CM.
Ensure equal distribution of donated items to all beneficiary families.
Monitor functioning of fans, lights, geysers, locks, CCTV, water purifiers, etc.
Report defects immediately and follow up with vendors/technicians as per CM instructions.
F. Teaching, Counselling & Programme Support
Coordinate schedules for Teachers and Counsellors.
Ensure every child attends sessions regularly.
Maintain quiet, conducive environments for classes & counselling.
Provide feedback to CM on participation, behavioural changes, or gaps in coverage.
G. Events, Volunteers & Community Activities
Assist CM in organising:

ALAG (Access Life Arts & Gaana) activities

Volunteer sessions
o
Birthdays, celebrations & centre festivals
Welcome volunteers, guide them inside the centre, and support activity execution.
Maintain volunteer attendance records and assist in issuing certificates.
H. Safety, Security & Emergency Readiness
Ensure gates, entry logs, and security guards follow protocols.
Maintain emergency kits, first-aid kits, and fire extinguishers.
Participate in fire/medical drills and support execution.
Respond calmly to emergencies and coordinate immediate action as instructed.
Monitor children’s play areas, terraces, balconies, and high-risk zones.
I. Weekly-Off Support & Acting Centre Lead
Take full operational charge of the centre on days when the CM is on leave/weekly off.
Ensure all daily functions continue smoothly without interruption.
Escalate urgent concerns to the Operations Manager if required.
J. Communication & Professional Conduct
Maintain respectful, compassionate interactions with all families.
Maintain confidentiality and dignity of beneficiary families.
Communicate clearly with CM and follow instructions promptly.

K. Duty Hours & Residency Expectations
CC stays at the centre 24/7 (accommodation provided).
Weekly offs and defined rest hours apply as per ALAF guidelines.
Must be available for emergencies even outside duty hours.

Final Objective of the Centre Coordinator Role
To ensure a safe, clean, caring, respectful, and well-coordinated living environment for beneficiary families, while supporting the Centre Manager in all operational, documentation, and service-delivery functions, and maintaining the highest standards of compassion and discipline at the centre.
