Job Summary

We are looking for a dynamic, organized, responsible, and proactive Events Coordinator to join our team. The role involves planning, coordinating, and executing events for schools, colleges, universities, and other educational institutions.

The candidate will be responsible for coordinating with clients, vendors, internal teams, and event partners to ensure smooth execution of events from planning to completion.

The ideal candidate should have excellent communication and coordination skills, strong organizational abilities, attention to detail, a positive attitude, and the willingness to travel to different event locations as required.

Key Responsibilities

Coordinate and support the planning and execution of events for educational institutions.
Visit assigned event locations and oversee on-ground event activities.
Coordinate with schools, colleges, universities, clients, vendors, and other stakeholders.
Understand event requirements and ensure all arrangements are completed as per the brief.
Coordinate with internal creative, marketing, content, and production teams.
Manage event schedules, timelines, checklists, and on-ground activities.
Coordinate logistics, branding materials, event setups, equipment, and other requirements.
Assist in coordinating stage setup, banners, standees, promotional materials, and other event branding.
Coordinate with vendors, photographers, videographers, anchors, artists, and other event partners.
Ensure the event setup is completed on time and according to client requirements.
Monitor event activities and resolve on-ground issues quickly and professionally.
Ensure smooth communication between clients, vendors, and internal teams during events.
Maintain proper records of event-related requirements, expenses, and deliverables.
Assist with post-event activities, feedback, documentation, and reporting.
Travel to different locations for meetings, event planning, and event execution.
Represent Host2Unlimited professionally while interacting with clients and partners.
Ensure events are executed smoothly, professionally, and within the agreed timelines.

Preferred Qualifications

Minimum 1+ year of experience in Event Coordination, Event Management, Marketing, Operations, or a related field.
Freshers with excellent communication skills, strong organizational abilities, and a genuine interest in event management are also encouraged to apply.
Strong communication and interpersonal skills.
Excellent coordination and time-management abilities.
Ability to manage multiple tasks and deadlines.
Confident and professional approach while interacting with clients and vendors.
Good problem-solving and decision-making skills.
Ability to work under pressure and handle last-minute changes.
Willingness to travel for meetings and event assignments.
Ability to work independently as well as with a team.
Candidates with experience in school events, college events, corporate events, exhibitions, workshops, seminars, or promotional events will be preferred.
Knowledge of basic event planning and coordination processes will be an advantage.

Experience

0–2 years of experience in event coordination, event management, marketing, operations, or a related field.

Freshers with strong communication skills, confidence, organizational abilities, and a willingness to learn may also apply.

Candidates will be assigned different client and event locations based on project requirements.

Work Schedule

Day Shift | Monday to Saturday (or as discussed)

Event-related work may occasionally require extended hours, weekends, or working on holidays depending on event schedules.

Proficiency in English is required.
Knowledge of additional regional languages is an advantage.
