About the Role
We are looking for a highly organised, proactive and responsible Executive Assistant to support the management in day-to-day business operations, coordination, follow-ups, reporting and execution of key tasks.
The ideal candidate should be comfortable working across Sales, CRM, Operations, Vendors, Projects and Management Coordination and should have strong follow-up and communication skills.
Key Responsibilities
1. Management Support
Manage the management's daily schedule, meetings and appointments.
Prepare and maintain the daily task/delegation sheet.
Follow up with team members on assigned tasks and ensure timely completion.
Prepare meeting agendas, MOMs and action points.
Track pending tasks and escalate delays to management.
Maintain confidentiality of management and business information.
2. Sales & CRM Coordination
Coordinate with the Sales Team, CRM Team and Showroom Team.
Ensure leads are properly updated and followed up in CRM.
Monitor lead status, follow-ups and conversions.
Track Sales Target vs Achievement.
Prepare daily/weekly/monthly sales reports.
Coordinate between sales executives, customers and management.
Monitor pending quotations, orders and customer follow-ups.
3. Operations Coordination
Coordinate with internal departments for smooth execution of orders/projects.
Track order status from enquiry to closure.
Follow up on pending approvals, material requirements, dispatches and deliveries.
Coordinate with vendors and service providers wherever required.
Maintain a tracker for important operational activities.
4. MIS & Reporting
Prepare and maintain:
Daily Management Report
Sales MIS
Lead & Conversion Report
Target vs Achievement
Pending Task Report
Customer Follow-up Report
Order Status Report
Payment/Collection Follow-up Report
Team Performance Reports
5. Zoho / CRM Management
Ensure proper use of Zoho CRM by the sales team.
Monitor data accuracy and completeness.
Coordinate with the Zoho/IT team for required changes and improvements.
Generate required reports and dashboards.
Identify gaps in CRM processes and communicate them to management.
6. Communication & Coordination
Act as a coordination point between management and various departments.
Draft professional emails, messages, letters and reports.
Coordinate meetings with clients, vendors, consultants and internal teams.
Maintain proper documentation of important communications.
7. Administrative Responsibilities
Maintain important company documents and records.
Coordinate travel, meetings and other management requirements.
Assist in preparing presentations, reports and business documents.
Support management in special projects and business initiatives.
Required Skills
Excellent communication and follow-up skills
Strong organisational and time-management skills
Good command of MS Excel and MS Office
Working knowledge of CRM/ERP software; Zoho preferred
Ability to prepare MIS and management reports
Good written English
Strong coordination and interpersonal skills
Ability to multitask and work under deadlines
High level of confidentiality and professionalism
Proactive approach with strong ownership
Preferred Candidate
2–5 years of experience as an Executive Assistant, Management Coordinator, Sales Coordinator or similar role.
Experience in real estate, interior, building materials, architecture, retail/showroom or project-based business will be an advantage.
Candidates who have worked closely with founders/MDs/senior management will be preferred.

Pay: ₹15,000.00 - ₹35,000.00 per month
