Full job description

Visa Filing Officer

We are looking for an experienced Visa Filing Officer to join our visa and travel operations team. The successful candidate will be responsible for preparing and processing visa applications, verifying documentation, assisting clients with visa requirements, and coordinating with the Visa & Travel Operations Manager to ensure smooth and accurate application processing.

Key ResponsibilitiesVisa Processing

Prepare and process visa applications for major international destinations.
Handle Tourist, Student, Work, Business, and other visa categories as assigned.
Review client documents for completeness, accuracy, and consistency.
Prepare application forms, checklists, supporting documents, and visa files.
Submit applications through relevant embassy, consulate, VFS, immigration, or other authorized channels.
Monitor application status and maintain accurate records.
Follow up on pending applications and provide timely updates to clients.
Stay updated on changes in visa procedures and documentation requirements.
Escalate complex or unusual cases to the Visa & Travel Operations Manager.

Client Support & Counseling

Communicate with clients regarding visa requirements, documentation, timelines, and application procedures.
Handle walk-in, telephone, email, and online inquiries professionally.
Assist clients in understanding application requirements and next steps.
Maintain professional communication throughout the visa processing cycle.
Address routine client questions and escalate issues when required.

Travel & Ticketing Support

Assist with domestic and international travel arrangements when required.
Support the team with flight, hotel, and travel package bookings.
Assist in preparing travel itineraries and related documents.
Coordinate with the travel team and service providers to support client requirements.

Team Coordination

Work under the direction of the Visa & Travel Operations Manager.
Coordinate with other visa filing officers and travel team members.
Complete assigned files within required timelines.
Follow company processes and quality standards.
Report application progress, pending documents, and issues to the manager.
Support the team in meeting operational and customer service objectives.

Documentation & Administration

Maintain organized physical and digital records of client applications.
Ensure client information and documents are handled confidentially.
Update internal systems, spreadsheets, and application trackers.
Maintain accurate records of submissions, appointments, and application outcomes.
Follow company procedures and applicable visa processing guidelines.

Qualifications & Experience

3–7 years of relevant experience in visa processing, travel consultancy, immigration services, or a related field.
Practical experience in visa documentation and application processing.
Knowledge of visa procedures and documentation requirements for major destinations.
Experience with online visa portals, VFS/embassy procedures, or similar application systems.
Good understanding of domestic and international travel services is preferred.
Good English communication and client-handling skills.
Basic knowledge of MS Office, email, spreadsheets, and online portals.
Strong attention to detail and document-checking ability.
Good organizational and time-management skills.
Ability to manage multiple applications and deadlines.
Graduate in any field or equivalent relevant experience.
