Visa & Travel Operations Manager

We are seeking an experienced Visa & Travel Operations Manager to oversee visa processing, travel services, ticketing, client management, and day-to-day team operations. The successful candidate will have strong knowledge of visa documentation, travel planning, ticketing systems, customer service, and team leadership.

Key ResponsibilitiesVisa Operations

Oversee visa application processing for major international destinations.
Manage Tourist, Student, Work, Business, and other visa applications based on applicable requirements.
Review and ensure accuracy of client documentation and application files.
Ensure applications are prepared and submitted according to the relevant embassy, consulate, VFS, immigration authority, or other applicable guidelines.
Monitor application progress and provide timely updates to clients.
Stay informed about changes in visa procedures, documentation requirements, and processing guidelines.
Handle escalated or complex cases and coordinate appropriate solutions.

Travel & Ticketing Operations

Manage domestic and international travel arrangements and tour packages.
Oversee flight bookings through online ticketing platforms and/or GDS systems.
Coordinate hotel reservations, transfers, sightseeing, and itinerary planning.
Develop travel options based on client requirements, schedules, and budgets.
Coordinate with airlines, hotels, travel partners, and service providers to ensure smooth bookings.

Team Leadership

Supervise and coordinate the visa and travel operations team.
Allocate work, monitor progress, and support team members in achieving operational and sales objectives.
Review files and bookings to maintain accuracy and service quality.
Train and guide team members on visa procedures, documentation, ticketing systems, and customer service.
Address operational issues and client escalations effectively.

Client Management & Business Development

Handle client consultations, walk-in inquiries, telephone inquiries, and follow-ups.
Explain visa procedures, documentation requirements, travel options, and applicable processes clearly.
Support the team in converting inquiries into bookings and service engagements.
Maintain professional relationships with existing and prospective clients.
Support achievement of sales and business development targets.
Promote customer satisfaction and encourage repeat business.

Reporting & Compliance

Maintain accurate records of visa applications, bookings, client interactions, and sales activities.
Prepare operational and performance reports as required.
Ensure company procedures and applicable visa/travel requirements are followed.
Maintain confidentiality and accuracy when handling client information and documents.

Qualifications & Experience

5+ years of relevant experience in visa processing, immigration services, travel consultancy, ticketing, or related operations.
Previous experience in a supervisory or managerial role is preferred.
Strong knowledge of visa application procedures and documentation.
Experience handling domestic and international travel arrangements.
Working knowledge of airline ticketing platforms and/or GDS systems.
Strong customer service, communication, counseling, and sales skills.
Experience managing, training, or supervising a team.
Graduate degree or equivalent relevant experience.
Proficiency in English communication and standard office software.
Strong organizational, problem-solving, and time-management skills.
Ability to manage multiple applications, bookings, and client requirements while maintaining attention to detail.
