Job Title: Executive Secretary

Job Summary

The Executive Secretary provides high-level administrative and secretarial support to senior executives by managing schedules, coordinating meetings, handling confidential correspondence, and ensuring the smooth operation of the executive office. The role requires exceptional organizational skills, discretion, and the ability to multitask in a fast-paced environment.

Key Responsibilities

Manage executive calendars, appointments, and travel arrangements.
Organize meetings, prepare agendas, and record meeting minutes.
Draft, review, and distribute correspondence, reports, presentations, and other documents.
Screen calls, emails, and visitors, directing them appropriately.
Maintain confidential records and sensitive information with discretion.
Coordinate communication between executives, departments, clients, and external stakeholders.
Track action items and ensure timely follow-up on executive decisions.
Prepare expense reports and maintain office documentation.
Support event planning, conferences, and executive visits.
Perform additional administrative duties as assigned.

Qualifications

Bachelor's degree in Business Administration, Commerce, or a related field.
3–7 years of experience as an Executive Secretary, Executive Assistant, or similar administrative role.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Excellent verbal and written communication skills.
Strong organizational, multitasking, and time-management abilities.
High level of integrity, professionalism, and confidentiality.
