We are seeking a detail-oriented and proactive Accounts & Procurement Manager to oversee financial operations, procurement, compliance, and administrative coordination.
Job Summary
The Accounts & Procurement Manager will be responsible for managing accounting functions, procurement activities, statutory compliance, vendor management, budgeting support, and financial reporting. The role requires strong analytical skills, attention to detail, and the ability to coordinate with multiple departments and vendors.
Key ResponsibilitiesAccounts & Finance
- Maintain accurate books of accounts and accounting records.
- Process vendor payments, employee reimbursements, and statutory payments.
- Prepare monthly MIS reports, financial statements, and budget variance reports.
- Reconcile bank accounts, cash books, and ledgers.
- Coordinate with auditors for internal, statutory, and donor audits.
- Manage petty cash and expense tracking.
- Ensure timely invoicing and payment follow-ups.
- Support annual budgeting and financial planning.
Procurement
- Manage end-to-end procurement of office supplies, IT equipment, therapy materials, furniture, and operational requirements.
- Obtain quotations, compare vendors, negotiate prices, and finalize purchases.
- Maintain procurement documentation, purchase orders, and inventory records.
- Develop and maintain vendor relationships.
- Ensure timely delivery and quality of procured items.
- Monitor stock levels and coordinate replenishment.
Compliance
- Ensure compliance with GST, TDS, PF, ESI, Professional Tax, and other statutory requirements.
- Coordinate with Chartered Accountants and consultants.
- Maintain documentation required for donor reporting and regulatory compliance.
- Ensure adherence to organizational procurement policies and financial controls.
Administration Support
- Coordinate with HR and Administration for employee reimbursements and vendor agreements.
- Support asset management and annual physical verification.
- Maintain financial and procurement documentation in both digital and physical formats.
- Assist in preparing reports required by management and donors.
Qualifications
- Bachelor's degree in Commerce (B.Com), Accounting, Finance, or a related field.
- M.Com, MBA (Finance), CA Inter, CMA Inter, or equivalent qualification is preferred.
Experience
- 5–8 years of experience in Accounts, Finance, and Procurement.
- Experience in the NGO, social sector, or development sector is preferred.
- Experience with Tally ERP/Tally Prime or similar accounting software.
- Strong knowledge of MS Excel and financial reporting.
