Job Summary
We are looking for an organized and result-oriented Sales Operations Specialist to support the Sales team in managing sales processes, customer data, quotations, orders, reports, follow-ups, and coordination between Sales, Operations, Accounts, and other departments.
The ideal candidate should have strong communication, coordination, analytical, documentation, and reporting skills, along with good knowledge of MS Excel and CRM/Sales Management tools.
Job Responsibilities
1. Manage day-to-day sales operations and coordinate with the Sales team.
→ Support sales team members in managing daily activities, customer requirements, follow-ups, and sales-related tasks.
2. Maintain and update customer and sales databases.
→ Ensure customer details, leads, enquiries, quotations, orders, and sales status are accurately updated and maintained.
3. Prepare quotations, sales orders, invoices, and other sales-related documents.
→ Coordinate with the Sales and Accounts teams to prepare and process required sales documentation accurately and on time.
4. Track leads, enquiries, follow-ups, and sales opportunities.
→ Monitor the status of leads and enquiries and ensure timely follow-up by the concerned Sales Executive or Sales Manager.
5. Coordinate with customers regarding orders, product requirements, delivery schedules, and documentation.
→ Communicate with customers and internal teams to ensure smooth processing of orders and timely resolution of queries.
6. Coordinate with Production, Dispatch, Service, Accounts, and Sales teams.
→ Ensure proper communication and coordination between departments for order processing, delivery, installation, payment, and service requirements.
7. Prepare daily, weekly, and monthly sales reports.
→ Generate reports related to sales performance, leads, enquiries, conversions, pending orders, collections, and other sales activities.
8. Monitor sales targets and performance of the Sales team.
→ Track individual and team performance against assigned targets and provide regular updates to management.
9. Maintain proper records of sales activities and customer communications.
→ Maintain accurate records of quotations, purchase orders, customer requirements, follow-ups, sales status, and other relevant information.
10. Follow up on pending payments and coordinate with the Accounts team.
→ Track outstanding payments and coordinate with Sales and Accounts teams for timely collection and customer communication.
11. Support the Sales team in preparing presentations, MIS reports, and business data.
→ Provide required sales data, analysis, presentations, and reports to assist management in decision-making.
12. Identify gaps or delays in the sales process and coordinate for timely resolution.
→ Monitor sales processes and highlight pending activities, delays, or issues to the concerned department.
13. Maintain proper documentation of customer orders and sales transactions.
→ Ensure that all sales-related documents are properly maintained and available for future reference.
14. Provide administrative and operational support to the Sales team.
→ Assist Sales Managers and executives with sales coordination, scheduling, reports, documentation, and other operational requirements.
Required Skills
- Good knowledge of Sales Operations and Sales Coordination.
- Strong communication and interpersonal skills.
- Good knowledge of MS Excel, Word, and PowerPoint.
- Knowledge of CRM / ERP / Sales Management software will be preferred.
- Strong data management and reporting skills.
- Ability to prepare MIS and sales performance reports.
- Good follow-up and coordination skills.
- Strong organizational and time-management skills.
- Ability to handle multiple tasks and work under deadlines.
- Good analytical and problem-solving skills.
- Ability to coordinate with Sales, Accounts, Production, Dispatch, and Service teams.
- Good written and verbal communication skills.
Qualification & Experience
- Graduate in any discipline; MBA in Sales / Marketing / Business Administration will be preferred.
- 2–5 years of relevant experience in Sales Operations, Sales Coordination, MIS, or Sales Administration.
- Experience in EV, automotive, electrical equipment, manufacturing, or B2B sales will be preferred.
- Strong knowledge of MS Excel and sales reporting.
- Candidates with experience in CRM/ERP systems will be preferred.
