Job Description (JD) – Office Coordinator

Position: Office Coordinator
Department: Administration / HR & Admin
Location: As per Company Requirement
Reporting To: HR Manager / Admin Manager / Management
Experience: 2–5 Years
Qualification: Graduate (MBA/BBA preferred)
Salary Range: ₹15000 – ₹30,000 per month (Depending on experience)

Job Summary

The Office Coordinator is responsible for ensuring the smooth day-to-day functioning of the office by coordinating administrative activities, managing office resources, supporting various departments, maintaining records, and facilitating communication between employees, vendors, and management.

Key Responsibilities

Coordinate daily office operations and administrative activities.
Manage office supplies, stationery, and pantry inventory.
Coordinate with vendors for maintenance, repairs, housekeeping, and office services.
Maintain office records, files, and documentation.
Handle courier, dispatch, and incoming/outgoing mail.
Schedule meetings, prepare meeting rooms, and maintain meeting calendars.
Assist in travel bookings, hotel reservations, and transportation arrangements.
Support HR with employee onboarding, documentation, attendance, and administrative tasks.
Coordinate visitor management and reception activities.
Maintain asset registers and office equipment records.
Monitor office cleanliness and ensure proper facility management.
Prepare MIS reports and administrative reports using Excel.
Coordinate with different departments for smooth workflow.
Handle petty cash records (if assigned).
Ensure compliance with company policies and administrative procedures.

Required Skills

Excellent communication and interpersonal skills.
Strong organizational and coordination abilities.
Good knowledge of MS Office (Excel, Word, PowerPoint, Outlook).
Ability to multitask and prioritize work.
Strong documentation and record management skills.
Vendor management and negotiation skills.

MS Excel (VLOOKUP, Pivot Table, Basic Formulas)
MS Word

Outlook
ERP/SAP (Preferred)

Preferred Candidate

Experience in manufacturing or corporate office.
Ability to coordinate with multiple departments.
Good follow-up and documentation skills.
Immediate joiner preferred.

Vendor coordination and service efficiency.
