Billing Executive – Construction Materials (Quarry & Crusher Division)

Job Summary

We are seeking a detail-oriented and experienced Billing Executive to manage billing operations for our Construction Materials, Quarry, and Crusher business. The ideal candidate should have experience in preparing invoices based on transit passes, coordinating with the Accounts Department, maintaining sales records, preparing MIS reports, and ensuring accurate documentation. The candidate should possess basic accounting knowledge, GST awareness, and proficiency in computer applications and online government/business portals.

Key Responsibilities

Billing & Documentation

Prepare customer invoices based on Transit Passes (TP) and dispatch details.
Generate accurate sales bills for M-Sand, Aggregates, Blue Metal, Quarry Products, and other Construction Materials.
Verify quantity, vehicle details, customer information, and pricing before billing.
Maintain proper billing records and documentation for audit and compliance purposes.
Ensure all billing activities are completed accurately and within the required timelines.

Transit Pass & Dispatch Coordination

Coordinate with dispatch, logistics, and weighbridge teams for billing requirements.
Verify Transit Pass details before generating invoices.
Maintain records of Transit Pass utilization and billing reconciliation.
Ensure dispatch documentation is complete and properly filed.

Sales Reporting & MIS

Prepare and submit Daily Sales Reports (DSR) to Management and the Accounts Department.
Generate Weekly, Fortnightly, and Monthly Sales Reports in the prescribed format.
Prepare customer-wise, product-wise, and vehicle-wise sales reports.
Assist Management by providing sales data and operational reports whenever required.
Maintain accurate records for future analysis and reporting.

Accounts Coordination

Coordinate with the Accounts Department regarding billing, customer accounts, and payment records.
Support reconciliation of invoices and outstanding balances.
Assist in resolving billing discrepancies with customers and internal departments.
Ensure proper documentation is shared with the Accounts Department on a daily basis.

GST & Compliance Support

Prepare invoices in compliance with GST regulations.
Maintain proper GST-related billing records.
Support the Accounts team during GST filing and audits by providing required documentation.
Ensure billing complies with applicable statutory requirements.

Online Applications & Administrative Support

Handle online application submissions through government and business portals as required.
Upload and manage documents through online platforms.
Perform internet-based documentation, data verification, and online searches related to business operations.
Maintain digital records and ensure timely submission of online applications.

Communication & Coordination

Coordinate effectively with Sales, Dispatch, Logistics, Accounts, and Management teams.
Respond promptly to customer and internal billing-related queries.
Ensure smooth communication between departments for uninterrupted business operations.

Candidate Requirements

Educational Qualification

B.Com / BBA / Bachelor's Degree in Commerce or a related discipline.
Additional certifications in Accounting, GST, or Tally will be an advantage.

Experience

Minimum 3 years of experience in Billing and Accounts.
Experience in Construction Materials, Quarry, Crusher, M-Sand, Aggregates, Blue Metal, Cement, Building Materials, Logistics, or Manufacturing Industries will be preferred.

Required Skills

Strong knowledge of Billing Procedures.
Basic Accounting knowledge.
Working knowledge of GST billing and documentation.
Good understanding of invoice preparation and sales documentation.
Proficiency in MS Office (Excel, Word, Outlook).
Experience with Tally Prime or other ERP/Billing Software.
Good communication and coordination skills.
Strong attention to detail and accuracy.
Ability to prepare MIS reports and maintain documentation.
