Full job description

Job Summary

We are looking for an organized and proactive Assistant Manager – Operations & Administration to support day-to-day business operations, administrative functions, facilities and office management. The ideal candidate will have strong administrative experience, excellent coordination skills, and the ability to manage multiple operational activities efficiently.

Key Responsibilities

Operations Management

Assist in managing daily operational activities and ensure smooth business operations.
Coordinate with internal departments to ensure timely completion of operational requirements.
Monitor administrative and operational processes and identify areas for improvement.
Prepare operational reports, MIS reports, and performance updates for management.
Follow up on pending tasks, action items, and operational issues.
Support management in implementing company policies, procedures, and operational standards.

Administration & Office Management

Manage day-to-day office administration and ensure a well-organized workplace.
Coordinate office maintenance, housekeeping, security, transportation, and other facility-related services.
Manage office supplies, stationery, assets, and inventory.
Maintain administrative records, documents, and registers.
Coordinate travel, accommodation, meetings, events, and other administrative requirements.
Handle correspondence, documentation, and general office-related communication.

Employee & Management Support

Provide administrative support to senior management and employees.
Coordinate employee-related administrative requirements.
Assist with onboarding, seating arrangements, ID cards, access cards, and other joining formalities.
Coordinate meetings, appointments, internal events, and official functions.
Maintain confidentiality of company and employee information.

Compliance & Documentation

Ensure administrative processes comply with company policies and applicable requirements.
Maintain proper documentation, records, and approvals.
Support audits and provide required administrative documentation.
Monitor renewals of licenses, contracts, insurance, and other relevant documents.

Requirements

Bachelor's degree in Business Administration, Management, or a related field.
5 years of experience in administration, operations, office management, or a similar role.
Previous experience in a supervisory or team-handling position is preferred.
Strong knowledge of office administration, facilities and operational coordination.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Good knowledge of MS Office, Excel, PowerPoint, and email communication.
Ability to prepare reports, track expenses, and maintain administrative records.
Strong problem-solving and follow-up skills.
Ability to work independently and coordinate effectively with multiple departments.
