Job Summary
Meluha International School is seeking dedicated, disciplined, and compassionate Hostel Wardens (Male & Female) to oversee the day-to-day management of the school's residential hostels. The Hostel Warden plays a critical role in fostering a safe, secure, disciplined, and nurturing residential environment that promotes the holistic development and well-being of students.
The ideal candidate will serve as a mentor, guardian, and role model, ensuring students adhere to hostel rules while receiving appropriate emotional, social, and academic support. The Hostel Warden will be responsible for hostel administration, student welfare, discipline, health and safety, food and dining supervision, parent communication, and coordination with academic, administrative, and residential teams.
The position requires a mature, proactive, and student-centric professional capable of handling residential responsibilities with integrity, professionalism, and empathy.
Key Responsibilities
1. Student Welfare, Supervision & Discipline
- Ensure the safety, security, welfare, and overall well-being of all hostel residents at all times.
- Maintain discipline in accordance with the school's Code of Conduct, hostel regulations, and residential policies.
- Supervise students during study hours, meals, recreational activities, and bedtime routines.
- Monitor student behaviour and address disciplinary concerns through counselling, corrective guidance, and appropriate disciplinary measures.
- Act as a mentor by supporting students' emotional, behavioural, social, and personal development.
- Maintain daily attendance, movement registers, leave records, and night roll calls.
- Monitor student attendance during school hours in coordination with academic staff.
- Ensure students adhere to hostel schedules, including wake-up routines, study hours, meal timings, lights-out, and other residential activities.
2. Hostel Operations & Administration
- Manage the day-to-day operations of the hostel to ensure smooth functioning.
- Allocate hostel rooms and maintain occupancy records.
- Conduct regular inspections of rooms, washrooms, dormitories, dining areas, recreation spaces, and common facilities.
- Ensure cleanliness, hygiene, sanitation, and proper housekeeping standards throughout the hostel premises.
- Monitor the proper use and maintenance of hostel furniture, fixtures, equipment, and other institutional assets.
- Report maintenance requirements related to electrical, plumbing, civil, housekeeping, and infrastructure issues and ensure timely resolution.
- Maintain inventory of hostel assets, consumables, and essential supplies.
- Ensure hostel facilities comply with institutional safety and operational standards.
3. Food & Dining Management
- Supervise the preparation and serving of breakfast, lunch, snacks, and dinner.
- Ensure food quality, hygiene, nutrition, cleanliness, and timely service.
- Monitor students during meal times and promote healthy eating habits and proper dining etiquette.
- Collect and communicate student feedback regarding meals to the kitchen or catering team.
- Coordinate with the mess supervisor and kitchen staff regarding dietary requirements, food quality improvements, and special meal arrangements where applicable.
- Ensure compliance with food safety and hygiene standards.
4. Student Health, Safety & Emergency Response
- Ensure compliance with all hostel safety protocols, emergency procedures, and institutional policies.
- Respond promptly to medical emergencies, illnesses, accidents, or injuries by coordinating with the school nurse, medical professionals, and parents where necessary.
- Monitor students' health, hygiene, medication schedules (where applicable), and overall well-being.
- Maintain records of medical incidents, treatments, and emergency responses.
- Ensure students follow safety procedures during hostel activities, outings, and emergencies.
- Participate in emergency preparedness drills and crisis management procedures.
5. Parent Communication & Student Support
- Serve as the primary point of contact for parents regarding hostel-related matters.
- Provide timely, accurate, and professional updates regarding student welfare, discipline, health, and hostel life.
- Address parent concerns, enquiries, and grievances with empathy and professionalism.
- Escalate serious incidents or sensitive matters to the Residential Head and Principal without delay.
- Build positive relationships with parents while maintaining appropriate confidentiality and institutional protocols.
6. Coordination, Reporting & Documentation
- Work collaboratively with teachers, counsellors, nurses, administrative staff, housekeeping, maintenance, transport, and security teams.
- Submit daily, weekly, and monthly reports regarding hostel operations and student welfare.
- Maintain accurate records including:
- Student attendance
- Movement registers
- Visitor records
- Leave records
- Medical reports
- Incident reports
- Disciplinary records
- Maintenance logs
- Assist in organising residential programmes, student engagement activities, celebrations, educational trips, and hostel events.
- Support school functions, admissions activities, and institutional events whenever required.
7. Compliance & Residential Standards
- Ensure strict compliance with school policies, child safeguarding guidelines, and hostel regulations.
- Maintain confidentiality of student records and sensitive information.
- Promote a respectful, inclusive, and supportive hostel culture.
- Ensure adherence to institutional standards for residential care, hygiene, discipline, and student protection.
- Perform any additional responsibilities assigned by the Residential Head, Principal, or School Management in the interest of the institution.
Qualifications
- Bachelor's Degree in any discipline from a recognised university.
- Certification in First Aid, Child Safety, Counselling, or Residential Management will be an added advantage.
Experience
- 2–5 years of experience as a Hostel Warden, Boarding School Warden, Residential Supervisor, Student Affairs Officer, or in a similar residential role.
- Prior experience working in an international school, boarding school, educational institution, or residential campus will be highly preferred.
- Experience in handling adolescent students, conflict resolution, and hostel administration is essential.
- Experience managing residential facilities with both operational and student welfare responsibilities will be an added advantage.
