Job Purpose
The School System Administrator will be responsible for managing, maintaining, and supporting the school's IT infrastructure, software systems, networks, hardware, user accounts, and digital platforms. The role will ensure that all technology systems used by students, teachers, administrators, and management function efficiently, securely, and without interruption.
Key Responsibilities1. IT Infrastructure Management
- Manage and maintain school computers, laptops, printers, scanners, projectors, smart boards, and other IT equipment.
- Monitor and maintain servers, network infrastructure, Wi-Fi, LAN, and internet connectivity.
- Ensure proper functioning of computer labs and digital classrooms.
- Coordinate with vendors for installation, maintenance, and repair of IT equipment.
- Maintain an updated inventory of all IT assets.
2. School Management Software
- Administer and maintain the School ERP / School Management System.
- Create and manage user accounts for employees, teachers, students, and administrators.
- Provide technical support for attendance, payroll, student information, fee management, examination, transport, HR, and other modules.
- Ensure accurate data entry, system configuration, and access permissions.
- Coordinate with ERP/software vendors for troubleshooting and system enhancements.
3. Network & Internet Management
- Monitor school internet connectivity and network performance.
- Configure and troubleshoot routers, switches, access points, and network devices.
- Manage Wi-Fi access across classrooms, offices, laboratories, hostels, and other areas.
- Identify and resolve network-related issues promptly.
- Maintain appropriate network security and access controls.
4. Data Security & Backup
- Ensure regular backup of important school data.
- Implement appropriate access controls and user permissions.
- Protect confidential student, employee, payroll, financial, and administrative information.
- Monitor system security and report any suspected security incidents.
- Support the implementation of data protection and IT security policies.
5. Technical Support
- Provide first-level technical support to teachers, administrative staff, and management.
- Troubleshoot hardware, software, network, printer, email, and application-related issues.
- Respond to technical complaints and resolve issues within defined timelines.
- Maintain a help-desk / IT complaint register and track pending issues.
6. CCTV, Biometric & Access Systems
- Monitor and maintain CCTV systems and ensure cameras are functioning properly.
- Manage biometric attendance devices and coordinate biometric data integration with HR/payroll systems.
- Troubleshoot access-control systems and attendance devices.
- Coordinate with vendors for hardware or software-related issues.
7. Smart Classroom & Digital Learning Support
- Ensure proper functioning of interactive panels, smart boards, projectors, audio systems, and digital classroom equipment.
- Provide technical assistance during online classes, examinations, presentations, and school events.
- Support teachers in using digital learning platforms and educational technology.
8. IT Asset Management
- Maintain records of computers, laptops, printers, networking equipment, software licenses, and other IT assets.
- Track allocation of IT assets to employees/departments.
- Monitor warranty and AMC details.
- Ensure proper handover and recovery of IT assets during employee joining and exit.
9. Vendor & AMC Management
- Coordinate with IT vendors, internet service providers, software companies, CCTV vendors, biometric vendors, and hardware service providers.
- Track AMC and warranty periods.
- Obtain quotations and coordinate service visits when required.
- Verify completion of technical work before closing service requests.
10. Documentation & Reporting
- Maintain IT infrastructure documentation, network diagrams, asset registers, software licenses, and service records.
- Prepare monthly IT status reports for management.
- Report system downtime, recurring issues, security incidents, and major IT requirements.
- Maintain records of IT complaints and resolution timelines.
Required Qualifications
- Bachelor's degree in Computer Science, Information Technology, Computer Applications, or a related field.
- BCA / B.Sc. Computer Science / B.Tech / BE / MCA preferred.
- Relevant IT certifications will be an added advantage.
Experience
- 3–5 years of relevant experience in system administration or IT support.
- Experience in a school, educational institution, corporate office, or multi-branch organization is preferred.
- Experience managing ERP, biometric attendance, CCTV, networking, and IT infrastructure will be an advantage.
Technical Skills
- Windows operating systems and basic Linux knowledge.
- LAN/WAN and Wi-Fi troubleshooting.
- TCP/IP, DNS, DHCP, routers, switches, and network configuration.
- Hardware and software troubleshooting.
- Server and data backup management.
- CCTV and biometric systems.
- School ERP / HRMS / Attendance systems.
- Microsoft Office / Google Workspace.
- Basic cybersecurity and data protection practices.
