- Take detailed client briefs, turn them into precise internal job cards, and route them to creative, design, and production teams.
- Schedule, organize, and document client meetings, ensuring clear action items and follow-ups are distributed immediately.
2. Proposal Development & Pitch Assistance
- Assist the Senior Manager in brainstorming concepts, compiling research, and creating compelling pitch decks.
- Draft accurate commercial proposals, cost sheets, and scope-of-work documents based on vendor quotes and production rates.
- Stay updated on market trends, new venue options, and emerging event technologies to bring fresh ideas to client briefs.
3. Project Coordination & Execution
- Coordinate cross-functional timelines between clients, external suppliers, venue managers, and internal design/production units.
- Conduct regular quality checks on artwork, staging materials, print collateral, and digital assets to ensure compliance with client brand guidelines.
- Lead on-ground client coordination during live events, managing registrations, guest experience, signage placement, and real-time client requests.
4. Budget Tracking & Financial Administration
- Track project budgets to ensure expenditure remains within approved limits.
- Coordinate with internal finance to issue client invoices, follow up on purchase orders (POs), track payment timelines, and finalize vendor payments.
- Assist in compiling post-event evaluation reports, tracking key performance indicators (KPIs), and gathering client satisfaction data.
