Key Responsibilities
- Oversees account-specific administration activities for the following scope of services: job
posting, interview scheduling, help desk support, pre-employment screening or reference
checks initiations or verifications, candidate care, offer management, onboarding, invoice
administration, applicant tracking system updates, and requisition management
Processes more complex requests and provides support or training, as well as acting as a buddy to junior team members
- Managing various ad-hoc administration activities to support the effective running of the recruitment process e.g., updating Operations Manual or other process documentation
- Completing reports and trackers accurately and to deadlines
- Building and maintaining strong working relationships between all parties including
recruiters, hiring managers, vendors, and other account stakeholders
- Ensuring stakeholders and colleagues are continually appraised and updated on the
relevant processes, including changes, providing first-line support for managing and
resolving escalations
- Contributes ideas and actively participates in projects for cost savings, revenue generation,
and operational efficiency (Ex. process and benchmark review, time study)
- Overseeing work allocation and reviewing accuracy of output for other (Senior)
Recruitment Coordinators
- Fully utilizes technology and other rollouts and changes implemented to the team
Skills:
- Strong knowledge of recruitment coordination and onboarding processes.
- Experience with ATS (Workday, iCIMS, Taleo, Greenhouse, etc.) and HR systems.
- Excellent organizational and administrative skills with strong attention to detail.
- Ability to manage interview scheduling, offer documentation, and recruitment data.
- Proficiency in Microsoft Office (Excel, Outlook, Word, Teams).
Requirements:
- 4+ years of experience in recruitment administration or talent acquisition operations.
- Experience supporting end-to-end recruitment coordination and onboarding.
- Hands-on experience with ATS, reporting, and maintaining recruitment data.
- Ability to manage multiple priorities in a fast-paced environment while ensuring accuracy and compliance.
