About the Role
Introduction – the ‘why’
Oxford University Press (OUP) is looking for a Marketing Operations Assistant to join its Academic Marketing Operations team. This is an excellent opportunity for someone looking to build experience in marketing operations, administration, customer service, and stakeholder management within a globally recognised academic publishing organisation.
Working as part of a collaborative and supportive team, you will help OUP bring products to market efficiently and effectively while supporting key relationships with authors, institutions, media partners, and internal stakeholders. The role offers exposure to a broad range of marketing activities and the opportunity to contribute to initiatives that directly support the success and discoverability of OUP’s academic products.
Opportunity – the ‘what’
As part of the Marketing Operations team, you will provide a comprehensive range of operational and administrative support activities that enable Academic Marketing teams to deliver impactful marketing campaigns and services.
Key responsibilities include:
Administering and recording the distribution of gratis and incentive marketing materials.
Evaluating and responding to requests for complimentary review copies from academic journals and other media.
Processing and recording approved requests centrally.
Evaluating opportunities for award and prize nominations.
Arranging fulfilment of complimentary copies and maintaining records.
Recording and communicating successful award nominations and wins.
Producing reports and statistics on the volume and value of gratis copies distributed.
Maintaining and enhancing publicly accessible OUP product information.
Updating and improving product information within the OUP marketing database (STAR).
Responding to internal and external queries regarding product information displayed on public websites.
Implementing corrective actions promptly to ensure information accuracy and discoverability.
Maintaining the supply of sales collateral used to represent OUP products in the market.
Creating and distributing sales sheets, catalogues, and other sales materials for forthcoming publications.
Supporting processes for selecting OUP products for inclusion in third-party print and digital catalogues.
Collaboratively enabling and administering co-operative marketing initiatives.
Supporting promotional initiatives with co-op partners in line with marketing team direction.
Managing associated administrative processes, including spend administration and payment processing.
Tracking and reporting marketing costs against budgets and ROI objectives.
Collaboratively managing communications with current and prospective OUP authors.
Monitoring and triaging email communications daily.
Providing standard responses where appropriate and escalating complex enquiries in line with agreed processes.
Creating and distributing promotional materials that authors can use for self-promotion.
Providing general administrative support for new work centralised within Marketing Operations.
Completing tasks assigned by the Team Leader – Marketing Operations.
Creating and maintaining process documentation to support business-as-usual activities and operational continuity.
The role has a direct impact on the efficiency of Academic Marketing operations, supports the discoverability and promotion of OUP products, and helps ensure high-quality service delivery to authors, partners, and internal stakeholders.
Key stakeholder relationships
Internal: Marketing, Editorial, Sales, Marketing Shared Services, Design, Operations and Technology, Fulfilment.
External: Authors, Research Institutions, Journal Societies, Award Administrators, Specialist Media, and Retailers.

Education & Qualifications
Educated to A Level/BTEC standard, or
CIM Level 3 qualification (or higher).
Previous Experience
Minimum 6 months’ experience in a professional working environment, ideally within an office-based team.
Intermediate IT skills, including ideally advanced capability in Microsoft Excel.
Previous customer service experience in either an internal or external-facing role would be highly beneficial.
Desirable Criteria
Previous marketing operations, marketing administration, publishing, or academic-sector experience.
Experience supporting customer, author, or stakeholder communications.
Experience maintaining databases and reporting using Excel.
