Purpose of Job

The Client Registration and Business Support Coordinator support the business through the management of client registrations, compliance records, CRM systems, tender portals, and business databases. Responsible for maintaining accurate and accessible client and corporate information, coordinating registration and renewal activities, and supporting document control and administrative processes. Will also build strong internal networks to promote data consistency, process improvement, and the effective sharing of information across Pursuits, Operations, Finance, and Business Development teams

Essential Functions

Manage and maintain a centralized client registration database across the Middle East region.

Consolidate, cleanse, validate, and update client, contractual, and registration information from multiple sources.

Administer new client registrations, supplier onboarding activities, and prequalification processes.

Coordinate and track registration renewals, ensuring compliance requirements are met on time.

Maintain accurate and auditable records of corporate, legal, compliance, and registration documentation.

Monitor registration expiry dates and proactively manage renewal schedules.

Identify data gaps, inconsistencies, duplicates, and opportunities to improve data quality.

Develop reports, tracking tools, dashboards, and performance metrics to support business operations.

Conduct routine audits to ensure the accuracy, completeness, and integrity of business information.

Maintain and update CRM records, ensuring client and opportunity information remains current and reliable.

Manage company profiles and organizational information within client procurement and tender portals.

Coordinate and manage the Pursuits Team inbox and associated administrative workflows.

Maintain project, client, and corporate information repositories and support knowledge management initiatives.

Develop, organize, and maintain SharePoint sites, document libraries, and filing structures in accordance with company standards.

Recommend and implement process improvements, automation opportunities, and best practices using Microsoft 365 and other business systems.

Education:

Diploma or Bachelor's degree in Business Administration, Management, Information Management, Marketing, Communications, Project Administration, or a related discipline.

Minimum 3–5 years of experience in administration, business support, document control, client registration, CRM administration, or a similar coordination role.

Other Requirements:

Detail-oriented and organized, with exceptional prioritization skills

Self-motivated with the ability to prioritize competing deadlines and work independently

Proficiency in Microsoft Office 365 applications, particularly Excel, Word, Outlook, SharePoint, and Teams.

Experience using client procurement and supplier management portals such as Oracle Fusion, SAP Ariba, Jaggaer, Tejari, ADERP, In-Tend, or similar platforms.

Strong SharePoint administration and document management experience.

Understanding of corporate compliance, governance, supplier registration, and vendor qualification requirements.

Experience managing large datasets and performing data cleansing, validation, and quality assurance activities.

Ability to effectively communicate with senior management, supervisors, peers, and clients, internally and externally

Can work independently, collaboratively as part of a team, and in conjunction with senior management/executive staff
