1. JOB PURPOSE
The Data Management Operator will be responsible for accurate data entry, data management, MIS preparation, report updating, document tracking, and maintaining department-wise records.
The candidate will coordinate with different departments to collect required information, update trackers on time, identify missing or incorrect data, and provide accurate reports to management for monitoring and decision-making.
2. KEY RESPONSIBILITIESA. Data Entry & Data Management
- Enter and update daily operational data accurately.
- Maintain data in Excel, Google Sheets and company software/ERP.
- Verify data before updating records.
- Maintain department-wise databases and trackers.
- Ensure all records are updated within the defined timeline.
- Identify duplicate, missing or incorrect entries.
- Maintain proper data backup and document records.
B. MIS & Reporting
Prepare and maintain daily, weekly and monthly MIS reports such as:
- Daily Achievement Report
- Work Progress Report
- Pending Task Report
- Purchase Pending Report
- Vendor Follow-up Report
- Dispatch Status Report
- Site Requirement Report
- Material Pending Report
- Production Status Report
- Sales/Order Status Report
- Project Status Report
- Employee/Attendance Data
- Department-wise Performance Report
C. Excel & Google Sheets Management
- Create and maintain professional Excel/Google Sheet formats.
- Use formulas such as:
- VLOOKUP / XLOOKUP
- IF / IFS
- SUMIF / SUMIFS
- COUNTIF / COUNTIFS
- INDEX-MATCH
- IFERROR
- TEXT and DATE functions
- Prepare Pivot Tables and basic dashboards.
- Apply filters, sorting, conditional formatting and data validation.
- Maintain linked sheets and automated reports wherever required.
- Improve existing reporting formats for better tracking.
D. Daily Task & FMS Tracking
- Update daily task trackers/FMS based on department inputs.
- Monitor task status:
- Completed
- Work in Progress
- Not Started
- Target Date Overdue
- Highlight overdue and pending tasks.
- Share pending-task reports with concerned persons.
- Follow up for missing updates.
- Escalate critical delays to the reporting manager.
E. Document Management
- Maintain digital and physical records as required.
- Properly organize purchase orders, invoices, bills, delivery documents, dispatch documents and other operational records.
- Maintain document-wise and date-wise folders.
- Ensure documents are properly named and filed.
- Track missing documents and coordinate with concerned departments for closure.
F. Data Verification & Quality Control
- Cross-check data received from different departments.
- Verify quantities, dates, item descriptions, order numbers and other important details.
- Identify discrepancies between reports and source documents.
- Coordinate with concerned team members for correction.
- Ensure management reports contain accurate and updated information.
G. Department Coordination
Coordinate with:
- Purchase
- Production
- Dispatch
- Sales
- Accounts
- Design
- Projects
- Stores
- Site Team
- HR
for collecting and updating required information.
H. Follow-up & Pending Data
- Maintain a daily pending-data tracker.
- Follow up with departments for pending information.
- Ensure reports are received within the defined deadline.
- Highlight repeated delays or non-submission of reports.
- Maintain an escalation list for overdue information.
3. DAILY RESPONSIBILITIES
- Check all required reports/data received from departments.
- Update master trackers.
- Verify data accuracy.
- Update completed and pending tasks.
- Identify overdue activities.
- Prepare daily MIS.
- Follow up for missing information.
- Share required reports with management.
- Maintain proper filing of daily documents.
4. WEEKLY RESPONSIBILITIES
- Prepare weekly performance/MIS reports.
- Review pending and overdue activities.
- Update department-wise dashboards.
- Check data accuracy and inconsistencies.
- Prepare management summary reports.
- Maintain weekly document and data records.
5. MONTHLY RESPONSIBILITIES
- Prepare monthly MIS.
- Consolidate department-wise performance data.
- Prepare pending/overdue analysis.
- Maintain monthly databases.
- Compare actual performance against targets.
- Prepare basic charts/dashboards for management.
- Archive monthly records properly.

- B.Com / BBA / BCA / equivalent qualification preferred.
- Certification in Excel/MIS/Data Management will be an advantage.
10. EXPERIENCE
- 1–3 years of experience in Data Entry, MIS, Operations, Back Office or Data Management.
- Freshers with strong practical Excel knowledge may also be considered.
- Experience in manufacturing/engineering/project-based companies will be an advantage.

The position plays a key role in ensuring that management has accurate and up-to-date information for monitoring daily operations and taking timely decisions.
Pay: ₹20,000.00 - ₹40,000.00 per month
