WE’RE HIRING | Receptionist / Front Desk & Admin Executive (Females Only)

Location: Powai, Andheri East, Mumbai
Experience: 1–3 Years
Qualification: Graduate preferred
Work Mode: On-site
Reporting To: Sr. HR Generalist

Key Responsibilities

1. Front Desk & Visitor Management

Welcome and assist visitors, clients, vendors and employees professionally.
Maintain visitor records and coordinate with concerned employees.
Ensure the reception area is clean, organized and presentable.

2. Calls & Communication

Handle incoming calls and route them to the appropriate person/department.
Take and relay messages accurately.
Respond to general queries from clients, vendors and visitors.

3. Vendor & Maintenance Coordination

Coordinate with vendors for plumbing, electrical work, AC servicing, internet, housekeeping and repairs.
Schedule service visits and follow up until the issue is resolved.
Maintain vendor contact details and service records.

4. Facility & Office Operations

Support day-to-day office facility operations under the supervision of the COO.
Ensure meeting rooms, seating areas, lighting, AC and common areas are properly maintained.
Identify facility-related issues and coordinate timely resolution.

5. Office Supplies & Inventory

Maintain stock of stationery, pantry items, printer supplies and cleaning materials.
Monitor stock levels and raise replenishment requests when required.
Maintain records of purchases and usage.

6. Office Expense Tracking

Maintain records of daily office operational expenses.
Track expenses related to maintenance, office supplies and facility services.
Collect and maintain invoices, bills and supporting documents.
Share expense summaries with the COO/Accounts team when required.

7. Administrative Support

Manage incoming and outgoing couriers and documents.
Coordinate meeting room bookings and basic meeting arrangements.
Assist HR/Admin with documentation, filing, scanning and other office coordination activities.
Provide administrative support to the COO for smooth day-to-day office functioning.

What We’re Looking For

1–3 years of experience in Reception, Front Desk, Administration or Office Operations.
Graduate in any discipline preferred.
Good communication skills in English & Hindi.
Basic knowledge of MS Office, Email & Documentation.
Strong coordination and follow-up skills.
Ability to manage multiple tasks and coordinate with different vendors.
Professional, organized and proactive approach.
Ability to take ownership of day-to-day office requirements.
