Full job description

Junior Executive - Project Coordination

Key Responsibilities

· Prepare and manage all project documents from tendering to handover.

· Prepare and Maintain document registers, revisions, approvals, and version control.

· Record, circulate, and track Minutes of Meeting (MOMs) and action items.

· Coordinate for closure of actionable with Architects, MEP Consultants, Contractors, Vendors, and internal teams.

· Follow up on drawings, approvals, RFIs, and project deliverables.

· Update project trackers, schedules, dashboards, and management reports.

· Maintain tender, contract, BOQ, billing, and variation records.

· Ensure timely submission and retrieval of all project documentation.

· Support contractor billing by maintaining measurement, billing, and approval of records.

· Compile handover documents, including as-built drawings, warranties, manuals, and asset records.

· Maintain DLP documentation and monitor closure of post-handover issues.

· Ensure compliance with project documentation standards and organizational procedures.

Key Performance Indicators (KPIs)

· Timely issuance of project documents and MOMs.

· Accuracy and completeness of project documentation.

· Closure rate of MOM action items.

· Timely updation of project trackers and dashboards.

· Zero document revision or version control errors.

· Timely submission of management reports.

· Documentation readiness for project handover.

· Compliance with document control procedures.

Required Qualifications

· Graduate – Any discipline

· Fresher

Technical Skills

· Project Documentation & Document Control

· Project Coordination

· Minutes of Meeting (MOM) Management

· Project Scheduling & Tracking

· BOQ & Contract Documentation

· Microsoft Excel, Word, and PowerPoint

· AutoCAD Drawing Management (Preferred)
