Executive Assistant – Finance, Accounts & Commercial Operations

Location: Indirapuram, Ghaziabad (Work from Office)

Employment Type: Full-Time

Working Days: Monday to Saturday

Reporting To: Co-Founder & CEO

We are looking for a dynamic, detail-oriented and highly organised Executive Assistant to support the Co-Founder & CEO in finance, commercial operations and business administration. This role offers an excellent opportunity to learn, grow and contribute across multiple business functions within a fast-growing organisation.

Role Overview

The Executive Assistant – Finance, Accounts & Commercial Operations will be responsible for supporting the financial and commercial operations of the company while working closely with the Co-Founder & CEO. The role requires excellent analytical abilities, commercial awareness, accounting knowledge, and proficiency in the Zoho business ecosystem.

The ideal candidate should be proactive, eager to learn, comfortable working with technology platforms, and capable of handling confidential financial information with integrity.

Key Responsibilities

Finance & Accounts

Maintain books of accounts using Zoho Books.
Record day-to-day accounting transactions accurately.
Prepare invoices, quotations, purchase orders and payment vouchers.
Manage Accounts Receivable and Accounts Payable.
Perform bank reconciliations and monitor cash flow.
Process vendor payments and customer collections.
Maintain GST-related records and coordinate with the Chartered Accountant for statutory compliance.
Assist in preparation of monthly MIS reports and financial statements.
Support budgeting, forecasting and financial analysis.
Maintain proper documentation and accounting records.

Commercial Operations

Coordinate procurement activities and vendor management.
Monitor inventory movement using Zoho Inventory.
Support order processing for EduMarketPlace and other business verticals.
Coordinate logistics, dispatches and inventory reconciliation.
Maintain commercial documentation including agreements, purchase orders, work orders and invoices.
Track receivables, follow up on outstanding payments and support commercial negotiations where required.
Coordinate with internal teams to ensure smooth business operations.

Executive Assistance

Provide administrative and operational support to the Co-Founder & CEO.
Prepare reports, dashboards and presentations.
Coordinate meetings, follow up on action items and maintain project trackers.
Assist in preparing business proposals, commercial documents and management reports.
Maintain confidentiality while handling financial and business information.
Coordinate with clients, vendors, consultants and internal stakeholders whenever required.

Zoho Platform Management

The selected candidate should have hands-on experience in or willingness to work extensively with:

Zoho Books
Zoho Inventory
Zoho Payroll
Zoho Commerce
Zoho Campaigns
Other Zoho applications used within the organisation

Knowledge of automation and integration within the Zoho ecosystem will be considered an added advantage.

Desired Candidate Profile

Educational Qualification

Graduate in Commerce, Finance, Accounting or Business Administration; and/or
Postgraduate in Commerce, Finance, Management or related discipline; and/or
CA Inter qualified or pursuing.

Experience

1–2 years of relevant experience in accounting, finance, inventory management, commercial operations, e-commerce or retail.
Fresh candidates with exceptional knowledge of Zoho Books and strong accounting fundamentals may also be considered.

Technical Skills

Excellent working knowledge of Zoho Books is mandatory.
Familiarity with the Zoho ecosystem will be highly preferred.
Strong knowledge of accounting principles and financial documentation.
Good understanding of GST, invoicing and bookkeeping.
Proficiency in Microsoft Excel and Google Sheets.
Experience with ERP or accounting software will be an advantage.
