Job Title: Senior Quotation Executive

Company: Jayair System Private Limited
Location: Bhestan, Surat, Gujarat

Job Overview

Jayair System Private Limited is looking for a highly organized and experienced Senior Quotation Executive to manage the quotation process efficiently and ensure accurate, timely, and competitive quotations for customers. The ideal candidate will coordinate with the Sales, Purchase, Design, and Production teams, maintain pricing records, and support business development by delivering high-quality quotations within defined timelines.

Key Responsibilities

Prepare accurate and timely quotations based on customer requirements.
Review customer inquiries, technical specifications and BOQs before preparing quotations.
Coordinate with the Sales, Purchase, Design and Production departments to collect the required information.
Prepare cost estimations and pricing in accordance with company policies.
Maintain and update pricing databases, vendor quotations and material cost records.
Ensure all quotations are reviewed for accuracy before submission.
Follow up with the sales team regarding quotation status, revisions and customer feedback.
Maintain proper records of quotations, revisions, approvals and related documents.
Analyze previous quotations and pricing trends to improve quotation accuracy and turnaround time.
Handle customer revisions and prepare updated quotations as required.
Ensure compliance with company standards and documentation procedures.
Guide and support junior quotation executives or data entry staff in daily activities.
Generate quotation-related reports and maintain MIS as required by management.

Requirements

Bachelor's degree in Commerce, Business Administration, Engineering or a related field.
2–5 years of experience in quotation management, estimation, tendering or sales coordination.
Strong knowledge of MS Excel, MS Word and ERP/quotation management software.
Good understanding of pricing, costing and commercial documentation.
Excellent analytical, organizational and communication skills.
Ability to manage multiple quotations and meet deadlines.
High attention to detail with strong problem-solving abilities.

Preferred Skills

Experience in the HVAC, Air Distribution Products, Manufacturing, or Engineering industry.
Knowledge of costing, vendor coordination, and material estimation.
Ability to work independently and coordinate with cross-functional teams.
Strong negotiation and interpersonal skills.
