Position Title: Office Administrator & IT Support Specialist

Department: Operations / HR & Admin

Reports To: HR Operations Lead

Location: Gurgaon, Haryana (On-site)

Job Type: Full-time

Role Overview

We are seeking a versatile and proactive Office Administrator & IT Support Specialist to join our team in Gurgaon. Reporting directly to the HR Operations Lead, this hybrid role is split approximately 60% Office Administration and 40% IT Support.

You will serve as the backbone of our workplace—ensuring physical office operations run smoothly while keeping technical systems, hardware, and networks fully functional for the entire team.

Key Responsibilities Office Administration (60%)

Office & Supplies Management: Oversee daily office operations, track inventory, and reorder office supplies, stationery, kitchen essentials, and workplace equipment.
Travel & Logistics: Handle end-to-end travel logistics, including flight, train, cab, and hotel bookings for employees and leadership.
Vendor & Facility Management: Liaise with building facility management, security, house-keeping staff, and external service providers to maintain a clean, safe, and efficient work environment.
Front Desk & Workplace Culture: Greet visitors, manage incoming mail/couriers, and work alongside HR to support internal office events, celebrations, and team outings.
Admin Expense Tracking: Maintain records of office assets, monitor admin-related expenses, and process vendor invoices promptly.

IT Support & Infrastructure (40%)

Helpdesk & User Support: Serve as the first point of contact for daily employee IT issues, troubleshooting hardware (laptops, desktops, printers), software applications, and peripherals.
IT Onboarding & Offboarding: Set up, configure, and issue laptops/workstations for new hires; manage user accounts (Google Workspace / Microsoft 365, internal tools); manage smooth IT offboarding for exiting employees.
Network & AV Maintenance: Monitor office Wi-Fi, routers, printer setups, and conference room AV/display equipment.
IT Asset & Inventory Management: Maintain a detailed, up-to-date register of all company IT assets, accessories, and software licenses.
Technical Vendor Coordination: Coordinate with external ISPs, hardware repair technicians, and warranty providers to minimize downtime.

Qualifications & Requirements

Experience: 2–4 years of experience combining office administration with hands-on technical/IT support.
Education: Graduate degree or Diploma in Business Administration, Information Technology, Computer Science, or a related field.
Technical Proficiency: Experience with Windows/macOS troubleshooting, basic office networking (Wi-Fi, routers, IP setup), and cloud admin portals (Google Workspace / M365).
Key Skills: Excellent organizational ability, multitasking under deadlines, and strong communication skills.
Proactivity: Ability to prioritize urgent IT desk issues alongside routine workplace management seamlessly.
