About the Role

We are looking for a highly organized, dependable and proactive Executive Assistant + Personal Assistant to work closely with the Founder. This is a high-trust, hands-on role involving both professional and personal responsibilities. The ideal person should be good at managing information, coordinating people, following up on tasks and keeping things organized from start to finish.

The Right Person

We are looking for someone who is trustworthy, practical, proactive and solution oriented someone who doesn’t just say “I’ll check”- but checks, follows up and comes back with a clear answer.

You should be equally comfortable managing the Founder’s schedule, preparing an Excel report, coordinating with household staff, handling a last-minute requirement or getting behind the wheel when needed.

Key Responsibilities

Manage the Founder’s calendar, appointments, meetings, travel and daily priorities.
Coordinate calls, meetings, bookings, travel and personal commitments.
Maintain action points and follow-up trackers and ensure tasks are completed on time.
Coordinate with employees, vendors, service providers and other stakeholders.
Assist with personal requirements, purchases, deliveries, appointments and day-to-day logistics.
Coordinate with household staff such as drivers, housekeeping, cooks, security and other support staff as required.
Keep track of household requirements, staff-related matters and pending issues, ensuring timely follow-up.
Handle regular and accurate data entry in Excel / Google Sheets and other records or systems as required.
Maintain and update data, records, trackers and reports related to expenses, staff, vendors, payments, household requirements and other ongoing activities.
Maintain organized records of documents, invoices, expenses, payments and important information.
Maintain basic staff records including attendance, leave, salaries and other requirements.
Prepare and maintain Excel / Google Sheets, trackers, reports and summaries.
Collect, verify, reconcile and organize information from multiple sources.
Track expenses and flag discrepancies or unusual items when required.
Maintain an organized digital filing system.
Assist in coordinating basic interior, maintenance and civil work requirements at the Founder’s residence/office, including coordination with contractors, carpenters, electricians, plumbers, painters and other service providers as required.

What We Are Looking For

4–8 years of relevant EA/PA or administration experience.
Strong data entry and data management skills with excellent accuracy and attention to detail.
Excellent Excel / Google Sheets skills.
Strong data entry, documentation and reporting abilities.
Excellent communication, coordination and follow-up skills.
Practical exposure to basic interior, maintenance or civil works coordination is preferred.
Comfortable coordinating with contractors, technicians, vendors and external service providers for basic repair, maintenance and interior/civil work.
Mature, dependable and comfortable working in a fast-paced environment.
Comfortable coordinating with household staff and external service providers.
Valid driving license and good driving skills.
Strong sense of confidentiality, integrity and discretion.
Follow up on repair, maintenance, renovation and minor interior/civil works from requirement identification through completion, including coordinating site visits, quotations, materials, timelines and pending issues.
Track work progress and completion of basic maintenance/interior/civil jobs, identify delays or gaps and ensure timely follow-up with the concerned vendor or contractor
Proactively identify pending matters, delays or gaps and follow them through to closure.
Handle confidential personal, financial and business information with complete discretion.

Pay: ₹50,000.00 - ₹55,000.00 per month
