Full job description

Job Summary

We are looking for a proactive and detail-oriented Executive Assistant to support the day-to-day operations of the organization. The ideal candidate will be responsible for inventory monitoring, vendor coordination, office administration, documentation management, and handling import-export documentation. The candidate should possess excellent communication and organizational skills and be capable of working efficiently in a fast-paced environment.

Key Responsibilities

Monitor and maintain stock and inventory records to ensure optimum inventory levels.
Coordinate with vendors for procurement, quotations, purchase orders, deliveries, and payments.
Manage day-to-day office administration and ensure smooth office operations.
Maintain accurate and well-organized physical and digital documentation.
Prepare, verify, and manage import and export documentation, including invoices, packing lists, shipping documents, and related paperwork.
Coordinate with logistics partners, freight forwarders, customs agents, and internal departments for timely shipments.
Assist management in scheduling meetings, preparing reports, and handling administrative tasks.
Maintain records of office assets, supplies, and vendor agreements.
Ensure compliance with company policies and documentation procedures.
Perform any other administrative or operational tasks assigned by management.

Required Skills

Excellent verbal and written communication skills.
Strong organizational and time management abilities.
Good knowledge of Microsoft Office (Word, Excel, Outlook, and PowerPoint).
Ability to maintain confidentiality and handle sensitive information.
Strong attention to detail and accuracy in documentation.
Ability to multitask and work independently.
Basic understanding of import-export procedures and documentation will be an added advantage.

Eligibility Criteria

Graduate in any discipline from a recognized university.
Minimum 1 year of relevant work experience in administration, executive assistance, office management, or operations.
Experience in inventory management, vendor coordination, and documentation is preferred.

Reporting To: Management / Director

Pay: ₹15,000.00 - ₹25,000.00 per month
