Job Description

Position: HR & Admin Head

Department: HR & Administration
Location: Barapani, Meghalaya

The Administration Manager is responsible for ensuring the smooth functioning of all administrative activities within the plant. The role involves managing facility administration, security, housekeeping, transportation, guest management, vendor coordination, and maintaining a safe, organized, and efficient working environment that supports uninterrupted plant operations.

Key Responsibilities

1. General Administration

Oversee day-to-day administrative operations of the plant.
Maintain office infrastructure, furniture, equipment, and utilities.
Ensure uninterrupted availability of electricity, water supply, internet, and communication systems.
Maintain administrative records and documentation.
Prepare and manage the annual administration budget.

2. Facility Management

Maintain plant buildings, offices, guest houses, canteen, labour colonies, and common areas.
Coordinate repair and maintenance works.

3. Housekeeping & Hygiene

Develop housekeeping standards for all plant locations.
Ensure cleanliness of offices, production areas, washrooms, canteen, and residential colonies.
Monitor waste disposal practices.
Conduct periodic hygiene inspections.

4. Security Management

Manage plant security through internal teams or outsourced agencies.
Ensure proper gate control and visitor management.
Conduct security audits and surprise inspections.
Investigate security incidents and prepare reports.
Coordinate emergency response during security threats.

5. Transport & Vehicle Management

Manage company-owned vehicles.
Ensure timely servicing, insurance renewal.
Monitor fuel consumption and vehicle utilization.
Coordinate employee transportation and official travel.
Verify vehicle logbooks and maintenance records.

6. Labour Colony & Accommodation Management

Supervise employee quarters and labour accommodations.
Ensure proper water supply, sanitation, electricity, and cleanliness.
Coordinate maintenance of residential facilities.
Handle accommodation allocation and records.

7. Canteen Management

Ensure hygienic food preparation and distribution.
Monitor food quality and nutritional standards.

8. Vendor & Contractor Management

Identify and onboard administrative service providers.

9. Manage contracts for:

Housekeeping

Security

Canteen

Transportation

Civil Maintenance

10. Asset Management

Maintain records of administrative assets.

11. Documentation & Reporting

Prepare and maintain reports related to:

Security incidents
Housekeeping inspections
Vehicle utilization
Administrative expenses
Vendor performance
Employee accommodation
Facility maintenance

Required Qualifications

Bachelor's degree in Business Administration, Commerce, Management, or a related discipline.
MBA/PGDM in HR or Administration is preferred.

Experience

Minimum 8 years of experience in administration, preferably in a factory, cement plant, manufacturing industry, steel plant, power plant, or other heavy industrial environment.
Experience in managing large workforces and contractor personnel is desirable.

Pay: ₹55,000.00 - ₹60,000.00 per month
