Air & Sea Import & Export Documentation & Customer Support Executive

Department: Export & Import Documentation / Customer Support

About the Role

Ocean Sky Logistics is looking for detail-oriented, responsible and customer-focused experienced professionals to join our Air & Sea Import & Export Documentation and Customer Support team.

The ideal candidate should have practical experience in international freight forwarding, shipment documentation, import/export procedures and customer coordination.

The selected candidate will be responsible for coordinating shipment documentation, updating customers, following up with airlines, shipping lines and overseas partners, and ensuring the smooth processing of Air & Sea Import and Export shipments.

Key Responsibilities

Handle documentation and coordination for Air & Sea Import & Export shipments.
Prepare, verify and maintain shipment-related documents.
Coordinate with customers, shippers, consignees, overseas agents, airlines, shipping lines and transporters.
Follow up on shipment bookings, cargo pickup, loading and dispatch.
Monitor shipment status from origin to destination.
Provide regular and timely shipment updates to customers.
Coordinate with Customs, CFS, CHA/customs brokers and other service providers where required.
Check shipping documents for completeness and accuracy.
Coordinate AWB, HBL/MBL, Commercial Invoice, Packing List and other shipment-related documents.
Follow up for missing, incomplete or corrected documents.
Coordinate with Operations and Pricing teams to resolve shipment-related requirements.
Maintain proper records of shipment documentation and customer communication.
Handle customer queries professionally and provide timely responses.
Escalate shipment delays, discrepancies or operational issues to the concerned department.
Ensure customer requirements and shipment instructions are properly communicated to the Operations team.
Maintain confidentiality and accuracy of customer and shipment information.

Required Experience & Qualifications

Candidates should have:

Minimum 3 years of experience in Freight Forwarding, Shipping, Logistics Documentation or Customer Service.
Practical experience in Air Freight and/or Sea Freight Import & Export operations.
Good knowledge of international shipment documentation.
Experience coordinating with customers, overseas agents, airlines and shipping lines.
Knowledge of AWB, HBL, MBL, Commercial Invoice, Packing List and other shipping documents.
Understanding of Import & Export shipment procedures.
Experience in shipment tracking and customer communication.
Ability to handle multiple shipments and follow up efficiently.
Graduate degree/diploma in a relevant field will be preferred.
