Project Coordination

The Project Support Coordinator is responsible for ensuring the smooth operation of project-related administrative tasks, supporting the team with project documentation, cost control, and logistical coordination. This role acts as a critical link between suppliers, stakeholders, and the project team, ensuring timelines, budgets, and project deliverables are met efficiently.

Key Responsibilities

Prepare and maintain delivery dockets and other project-related documentation.
Review supplier invoices for accuracy and compliance with project requirements.
Generate purchase orders and client invoices in a timely manner.
Supplier and Logistics Management
Follow up with suppliers to obtain project updates and ensure deliverables are on track.
Coordinate with freight forwarders to book and manage shipments.
Project Administration
Maintain and monitor project plans, schedules, budgets, and expenditures.
Organize, attend, and participate in stakeholder meetings.
Document and track important actions and decisions arising from meetings.
Provide administrative support as needed to facilitate project execution.
Project Cost Control
Assist in monitoring and controlling project costs, ensuring alignment with the approved budget.
Identify and escalate potential cost discrepancies to relevant stakeholders.
Work closely with Australian Team and Assist Project Engineers to execute job in timely manner.
Update weekly reports.
Undertake project-related tasks and duties as assigned by the project manager or supervisor.

Qualifications and Requirements

Bachelor’s Degree in Engineering or a related field.
Minimum of 3 years of project management experience.
Medium to Advanced proficiency in Excel and Word is must.
Strong organizational skills with attention to detail.
Excellent communication and interpersonal abilities.
Excellent English written and verbal communication is a must.
Ability to multitask and prioritize in a dynamic project environment.
