Overview
The Administration, Facilities, Security, and Technical Operations is responsible for the overall management and smooth functioning of office operations, facility management, security protocols, vendor management, and technical infrastructure at the site. This role ensures that the workplace environment is safe, efficient, compliant, and conducive to high employee productivity and satisfaction.
The position requires a proactive person who can manage cross-functional teams, oversee multiple service providers, ensure business continuity, and maintain operational excellence across all administrative and facility domains.
Duties and responsibilities
Act as the primary focal point for internal/external customers and their trainees from start to end of their training in AITC.
Perform short-term / ad-hoc planning of WET training courses with assignment of training
devices.
Propose and offer WET training courses to internal/external customers in coordination
with internal management within stipulated timeframes.
Check and ensure trainees fulfil all necessary flight experience and prerequisites during
the registration process.
Check and ensure all regulatory approvals are attained before training commencement.
Prepare grade sheets, course materials and other relevant training paperwork for the Training department.
Perform trainee registration using Company tools and in accordance with Company procedures.
Liaise with Airbus e-Learning office on the enrolment of remote learning courses and cloud-based training media (i.e. Mobile Airbus Training experience).Conduct welcome briefings for trainees on the first day of their training.
Monitor completion status of trainees attending remote learning courses.
Provide regular updates to customers’ training department on trainees’ progress when courses are ongoing.
Liaise with the Training department and instructors on the completion of training records when courses are ongoing and/or completed.
Collaborate with other internal stakeholders within the Integrated Planning Operations &
Delivery Team (Competence Manager) and other departments,Maintenance, Quality, Customer Experience andCommercial Sales) on operational matters during training execution.
Manage any training disruptions or unscheduled changes to training course programmes
with internal departments and customers.
Prepare course certificates, licensing paperwork and organise training records for customers in accordance with Company procedures upon customers’ completion of training.
Manage test notifications, process and submit flight crew licensing paperwork to Civil Aviation Authorities on behalf of the Training department and/or customers.
Perform archiving of trainee folders in accordance with Company procedures.
Participate and contribute to Training Operations improvement projects under guidance of Training Operations Manager
Collaborate with other departments to deliver exceptional customer experience.
Assist in any ad-hoc operational duties assigned by the Training Operations Manager
Shall be responsible for forecasting and planning the Flight Training courses under the responsibility of Airbus India Training Centre. He/ she will be responsible to create and share the course programs using the appropriate tools and resources
Manage facility booking (dry slots) and instructor bookings (wet slots) efficiently
Shall be responsible to coordinate with Central Operations to provide solutions (instructors, equipment etc.) for optimized use of resources and to promptly attend to customer requests
Shall be responsible to schedule and optimize resources allocation viz Classrooms, instructors, equipment etc., in compliance with regulatory and AITC commercial & operational objectives.
Shall coordinate with the Training Standardization team to ensure effective planning of Instructor qualification/updating plans
Shall coordinate with the Flight Simulation and Training Devices (FSTD) team and internal Quality team for effective effective Training Devices maintenance planning
Shall manage last minute changes efficiently by coordinating with the various stakeholders (Airlines, internal Airbus teams..) to ensure smooth training delivery
Active participation in all Internal quality and External Regulatory/customer audits
Coordination with Finance for timely clearance of subcontracted Simulator invoices
Coordinate with Central Operations team for Training data collection, consolidation and reporting
The jobholder will monitor, control and coordinate the implementation of all clauses of the Aircraft Purchase Agreement related to training matters as well as Training Customer Service Agreements.
The jobholder will ensure that all key milestones of customer training projects are fulfilled on schedule.
Eligibility Requirements:
With a Bachelor's degree in Business Administration and/or Engineering
Have at least 1 or 2 years experience which has allowed you to acquire sound skills.
Proficient in Microsoft Office / Google Workspace
Good understanding and working knowledge on Sales Force
Should be fluent in English
Should have airline operations knowledge (in the Training domain) /airline industry experience.
Experience in another Services industry is a plus
Should be a team player and have a proactive approach with colleagues
Should be able to take initiatives and work in under pressure
Able to multi-task and buffer pressure
Should be able to work in a multicultural environment
Aeronautical enthusiast
