We Are Hiring - Transport Manager

RISHS International School
Location: Arcot
Department: Administration
Position: Transport Manager

About the Role

We are looking for an experienced and responsible Transport Manager to take complete ownership of the school's transportation operations. The person will be responsible for managing the end-to-end school transport function, ensuring student safety, timely bus operations, efficient route planning, vehicle maintenance, driver and attendant management, parent communication, compliance, and cost control.

This is a hands-on operational role requiring strong leadership, planning, coordination, problem-solving, and emergency-management skills.

Key Responsibilities

End-to-End Transport Operations

Manage the complete day-to-day school transportation operations.
Ensure all buses operate safely, punctually, and according to approved routes and schedules.
Plan transportation for regular school operations, examinations, events, educational trips, and special requirements.
Monitor daily bus movements and resolve operational issues immediately.

Route Planning & Fleet Management

Design, optimize, and regularly review bus routes based on student locations and capacity.
Manage the school's entire bus fleet and maintain accurate fleet records.
Monitor vehicle utilization, mileage, fuel consumption, and operating costs.
Plan additional buses or route adjustments based on student strength and admission requirements.

Driver & Attendant Management

Recruit, verify, train, brief, and supervise drivers and bus attendants.
Prepare duty rosters and route allocations.
Monitor attendance, punctuality, discipline, grooming, and performance.
Conduct regular safety briefings and ensure staff follow school transport protocols.

Student Safety & Security

Take complete responsibility for student safety during transportation.
Ensure appropriate supervision during boarding and drop-off.
Implement procedures for student attendance, missed stops, unauthorized boarding, and emergency situations.
Coordinate with security and school administration regarding student movement.
Investigate and document accidents, incidents, complaints, and safety concerns.

Vehicle Maintenance

Ensure all buses are maintained in safe and roadworthy condition.
Schedule preventive maintenance and servicing.
Coordinate repairs, breakdown support, insurance, permits, fitness certificates, and other vehicle documentation.
Conduct or arrange regular vehicle inspections.
Maintain complete service and maintenance history for every vehicle.

Compliance & Documentation

Ensure all transport-related statutory and school requirements are followed.
Maintain records of vehicle documents, driver licenses, insurance, permits, fitness certificates, pollution certificates, and other applicable documents.
Ensure no vehicle operates with expired mandatory documentation.
Maintain transport SOPs, emergency procedures, and safety checklists.

Parent & Stakeholder Management

Handle transport-related parent enquiries and complaints professionally.
Communicate route changes, delays, breakdowns, and other important updates.
Coordinate with parents, Principal, Administrative Manager, Coordinators, HR, Security, Accounts, and other departments.
Ensure timely closure of transport-related concerns.

Fuel & Cost Management

Monitor fuel consumption and vehicle mileage.
Identify unnecessary fuel usage and operational wastage.
Maintain fuel records and analyze monthly consumption.
Control transportation costs without compromising student safety.

MIS & Reporting
Prepare regular reports covering:

Daily Bus Operations
Student Transport Utilization
Driver & Attendant Attendance
Route Performance
Vehicle Maintenance
Fuel Consumption
Transport Expenses
Incidents & Complaints
Vehicle Documentation & Compliance
Monthly Transport Performance Dashboard

Candidate Profile

We are looking for someone who has:

5+ years of experience in transport/fleet management, preferably in a school or educational institution.
Strong experience in managing multiple vehicles and drivers.
Excellent knowledge of route planning and fleet operations.
Strong leadership and people-management skills.
Excellent communication and parent-handling skills.
Ability to handle emergencies and operational pressure.
Good knowledge of MS Excel and transport/fleet management systems.
Strong documentation and reporting skills.
A high level of responsibility, discipline, and attention to safety.
