Job Overview

We are looking for a responsible, organised, and proactive Operations Coordinator to manage and coordinate day-to-day business operations. The person will act as a central point of coordination between different departments, ensuring that work is completed on time, orders and processes run smoothly, and operational issues are resolved quickly.

Key Responsibilities

Coordinate and monitor daily business operations and ensure tasks are completed on schedule.
Manage the complete order processing workflow, from receiving orders to production, packing, dispatch, and delivery coordination.
Coordinate with production, printing, packaging, warehouse, dispatch, sales, and other internal teams.
Track pending, completed, delayed, and urgent orders and ensure timely action.
Maintain proper records of orders, inventory, production status, dispatches, returns, and other operational activities.
Monitor stock levels and coordinate with the concerned team whenever materials or products need to be replenished.
Coordinate with courier/logistics partners for pickup, shipment tracking, delays, delivery issues, and returns.
Follow up with different departments and vendors to ensure that commitments and deadlines are met.
Identify operational problems and take timely action to resolve them or escalate them to management.
Prepare and maintain daily/weekly operational reports.
Monitor employee/task productivity and follow up on pending work where required.
Ensure proper communication of management instructions to the relevant teams.
Coordinate between management and employees to ensure smooth execution of daily activities.
Help implement and maintain standard operating procedures (SOPs).
Check that work is being completed according to company requirements and quality standards.
Handle urgent operational requirements and coordinate quick solutions.
Maintain confidentiality of company information and operational data.
Support management in improving efficiency, productivity, cost control, and workflow processes.
Perform other operational and coordination responsibilities assigned by management.

Order & Dispatch Management

The Operations Coordinator will be responsible for keeping a close track of:

New orders received
Orders under production
Orders awaiting packing
Orders ready for dispatch
Orders dispatched
Delayed orders
Cancelled orders
Returned shipments
Pending customer/order issues
Courier and logistics follow-ups

The coordinator must ensure that no important order or task is missed due to lack of follow-up.

Required Skills

Excellent coordination and follow-up skills
Strong communication skills
Good organisational and time-management abilities
Ability to handle multiple tasks simultaneously
Good knowledge of MS Excel / Google Sheets
Basic computer knowledge
Ability to maintain accurate records and reports
Problem-solving and decision-making ability
Ability to work under pressure and meet deadlines
Strong attention to detail
Proactive attitude and willingness to take responsibility
Ability to coordinate with multiple teams and external vendors

Preferred Qualifications

Graduate in any discipline
Previous experience in operations, administration, order management, logistics, production coordination, e-commerce, or a similar role will be preferred.
Experience with e-commerce platforms, inventory systems, courier portals, or ERP/software tools will be an advantage.

Ideal Candidate

The ideal candidate should be someone who takes ownership of work instead of waiting for instructions. They should be comfortable making follow-ups, tracking multiple activities, identifying problems before they become serious, and ensuring that daily operations continue smoothly.

Pay: ₹20,000.00 - ₹30,000.00 per month
