Full job description

Job Purpose

The Regional Receivables & Collection Officer is responsible for managing the Company's accounts receivable portfolio across all regional operations by ensuring timely collection of outstanding dues, maintaining accurate customer accounts, minimizing overdue receivables, and supporting healthy cash flow. The role coordinates with regional finance teams and sales teams to achieve collection targets while ensuring compliance with the Company's credit policies and internal controls.

Key Responsibilities

1. Accounts Receivable Management

Monitor customer receivables and ageing reports across all regional operations on a daily basis.
Ensure timely collection of outstanding invoices in accordance with approved credit terms.
Maintain accurate customer account balances in the ERP system.
Monitor unapplied receipts and ensure timely allocation against customer invoices.
Review customer accounts regularly and identify overdue or high-risk accounts requiring immediate follow-up.
Escalate significant collection risks to the Senior Accountant – Regional Finance.

2. Collection Management

Follow up with sale executive through telephone, email, and other communication channels to secure timely payments.
Prepare and maintain daily collection follow-up schedules and expected collection plans.
Coordinate with Regional Accountants and Sales Teams to resolve collection issues and payment delays.
Monitor collection commitments received from customers and ensure timely follow-up.
Recommend appropriate recovery actions for long outstanding balances.
Support achievement of monthly collection targets and improvements in cash flow.

3. Customer Statement & Reconciliation

Coordinate with Regional Accountants to ensure SOAs are sent to all customers within the agreed timeline.
Perform customer account reconciliations and resolve discrepancies promptly.
Coordinate with sale executive and internal departments to resolve invoice disputes and account differences.
Maintain proper documentation for all reconciliation activities.

4. Credit Control

Monitor customer credit limits and ensure compliance with the Company's credit policy.
Report customers exceeding approved credit limits or payment terms.
Coordinate with the Finance and Sales Departments regarding customer credit reviews.
Assist management in evaluating customer credit risks and recommending corrective actions.

5. Legal Recovery & Dispute Management

Identify overdue accounts requiring legal recovery in accordance with the Company's credit policy and management approval.
Coordinate with the Company's external legal counsel for debt recovery cases, including preparation and submission of all required supporting documents.
Initiate and monitor the issuance of legal notices to defaulting customers after obtaining the necessary internal approvals.
Maintain a register of all legal recovery cases, including legal notices, settlements, court cases, recoveries, and current status.
Follow up regularly with external legal counsel and provide periodic status reports to management.
Assist in negotiating payment plans and settlement agreements with customers in consultation with management and legal counsel.
Recommend provisions or write-offs for unrecoverable debts in accordance with company policy after management review.

6. Regional Coordination

Coordinate with Regional Accountants to monitor daily collection activities and overdue receivables.
Conduct weekly collection review meetings with regional finance teams.
Review regional collection performance against monthly targets.
Follow up on agreed action plans and ensure timely execution.
Support regional finance teams in resolving customer payment issues.

7. Reporting & Analysis

Prepare daily collection reports for submission to the Senior Accountant – Regional Finance.
Prepare weekly collection performance reports highlighting achievements, overdue balances, collection risks, and action plans.
Prepare monthly Accounts Receivable Ageing Reports.
Prepare customer-wise outstanding reports and expected collection forecasts.
Monitor Days Sales Outstanding (DSO), collection efficiency, overdue percentages, and other receivable KPIs.
Report collection trends and recommend improvement initiatives.

8. Compliance & Internal Controls

Ensure all collection documents, customer correspondence, legal files, and supporting records are properly maintained.
Support internal and external audit requirements relating to receivables and collections.
Ensure compliance with Company SOPs, credit policies, Delegation of Authority (DOA), and internal controls.

Key Performance Indicators (KPIs)

Achievement of monthly collection targets.
Reduction in overdue receivables and ageing balances.
Improvement in Days Sales Outstanding (DSO).
Customer Statements of Account issued within the first three working days of every month.
Customer reconciliations completed within agreed timelines.
Timely submission of daily, weekly, and monthly receivable reports.
Timely escalation and resolution of disputed and high-risk accounts.
Effective monitoring and follow-up of legal recovery cases.
Compliance with Company credit policies, SOPs, and internal controls.
Accuracy of receivable records and customer account balances.

Qualifications

Bachelor's Degree in Accounting, Finance, Commerce, or Business Administration.
Professional qualification in Finance or Accounting will be an added advantage.
Minimum 2–4 years of experience in Accounts Receivable, Credit Control, or Collection Management.
Experience in FMCG, trading, or distribution companies is preferred.
Experience with SAP Business One (SAP B1) or a similar ERP system.
Advanced proficiency in Microsoft Excel and Microsoft Office applications.

Pay: ₹20,000.00 - ₹25,000.00 per month
