Key ResponsibilitiesReception & Visitor Experience
- Welcome members, guests, and visitors with warmth and professionalism.
- Manage visitor entries and maintain visitor records.
- Handle incoming calls, enquiries, and direct them to the appropriate team member.
- Manage courier and parcel deliveries and notify members accordingly.
Member Experience
- Act as the first point of contact for members.
- Assist new members with onboarding, access, and workspace orientation.
- Coordinate meeting room bookings and ensure rooms are ready before meetings.
- Resolve day-to-day member requests and escalate issues when required.
- Regularly check in with members to ensure a positive experience.
Administration & Operations
- Maintain member records and administrative documents.
- Update occupancy and seat status trackers.
- Coordinate billing reminders and payment follow-ups with the operations team.
- Monitor pantry, stationery, and office supplies and raise requirements on time.
- Conduct regular checks of cabins, meeting rooms, and common areas.
- Report maintenance issues promptly.
Sales Support
- Conduct walkthroughs for prospective clients.
- Record enquiry details and share qualified leads with the sales team.
- Assist in preparing welcome kits and onboarding materials.
- Maintain enquiry and visitor records.
Facilities Coordination
- Coordinate with housekeeping, security, and maintenance teams.
- Track complaints and ensure timely resolution.
- Assist vendors during maintenance and service visits.
Who We're Looking For
- Excellent communication skills in English, Hindi, and Gujarati.
- Presentable, professional, and confident personality.
- Strong organizational and multitasking skills.
- Basic computer knowledge including email, MS Office, and WhatsApp.
- Ability to handle situations calmly and professionally.
- Takes initiative and pays attention to details.
- Prior experience in front office, hospitality, customer service, coworking, hotels, or business centers is preferred.
