About the Role
This is not a traditional Personal Assistant position.
You will work directly with the CEO, supporting a senior executive who manages an international engineering consulting business across multiple time zones. As the CEO's trusted partner, you will help prioritise tasks, coordinate communication, manage critical business activities, and ensure the smooth execution of strategic initiatives.
This role is ideal for someone who is highly organised, commercially aware, proactive, and capable of operating in a fast-paced professional environment.
Key Responsibilities
- Manage the CEO's calendar, meetings, travel arrangements, and priorities across Australia, New Zealand, and India.
- Draft, review, and coordinate professional correspondence with clients, consultants, and internal teams.
- Prepare reports, presentations, meeting agendas, minutes, and executive summaries.
- Monitor project milestones, deadlines, and action items, identifying risks before they become issues.
- Coordinate communication between the CEO, ANZ leadership team, and India operations.
- Conduct research on industry trends, competitors, regulations, and technical topics.
- Handle confidential business information with the highest level of professionalism and discretion.
- Support business development activities, including lead tracking, proposal coordination, client follow-up, pipeline management, capability statements, and Expressions of Interest (EOIs).
- Research potential clients, strategic partnerships, and new market opportunities across Australia, New Zealand, and India.
- Assist the CEO with strategic planning and special business initiatives as required.
Essential RequirementsNon-Negotiable
- Exceptional written and verbal English communication skills.
- Strong understanding of how engineering consulting businesses operate, including project delivery and client management.
- Minimum 3 years' experience supporting a CEO, Managing Director, or senior executive within engineering, consulting, or professional services.
- Experience supporting business development activities such as proposal preparation, client engagement, market research, or pipeline management.
- Availability to work during Australian and New Zealand business hours (mandatory).
- Outstanding organisational skills with exceptional attention to detail.
- Ability to anticipate priorities and work independently with minimal supervision.
Preferred Qualifications
- Degree in Engineering, Business, Engineering Management, or a related discipline.
- Experience working within an engineering consultancy, infrastructure, construction, or project management environment.
- Experience preparing tenders, RFQs, RFPs, EOIs, or capability statements.
- Familiarity with Australian and New Zealand business culture and professional standards.
- Experience using project management or CRM platforms such as Microsoft Project, Salesforce, HubSpot, Monday.com, or similar.
- Previous experience supporting cross-border teams operating across multiple time zones.

Pay: ₹400,000.00 - ₹700,000.00 per year
