ROLE CONTEXT
You will be responsible for on-ground coordination, logistics management, and smooth execution of various events across India. The role demands high operational discipline, a calm demeanour in complex environments, and the ability to manage multiple stakeholders simultaneously on event day.
KEY RESPONSIBILITIES
– Lead on-ground event coordination including venue setup, logistics flow, delegate management, and vendor supervision
– Serve as the primary point of contact on event day for internal teams, clients, vendors, and public sector liaisons
– Manage VIP/VVIP arrival logistics, green room protocols, stage management, and seating coordination
– Coordinate with security, protocol, and administrative teams from multiple counterparts
– Oversee venue recce, technical rehearsals, and pre-event walkthroughs
– Monitor event timeline compliance in real-time and escalate and resolve deviations immediately
– Track and manage event-day vendor deliverables: AV, catering, décor, transport, printing
– Maintain event documentation: pre-event checklists, day-of timelines, vendor contact sheets, debrief notes
– Coordinate advance and post-event logistics including material movement, equipment packing, and settlement documentation
– Support multi-city event rollouts, managing advance team deployments independently
QUALIFICATIONS & EXPERIENCE
– 3–6 years of hands-on event management experience, with proven on-ground execution responsibility
– Prior experience in public sector, PSU, or public sector events strongly preferred
– Demonstrated ability to manage VIP/VVIP logistics and protocol requirements
– Strong vendor management and coordination skills; ability to manage multiple workstreams simultaneously
– Comfortable with extensive domestic travel, irregular hours, and event-day pressures
– Graduate in any discipline; event management certification or hospitality background an advantage
– Working proficiency in Hindi essential; English proficiency for documentation
