General Description of the Role
The purpose of this post is to oversee and support all administrative duties in the office, ensuring a smooth, welcoming, and efficient work environment. This is a highly developmental role with a broad scope. As the organization grows, the post holder will have the opportunity to increase their skills, expand their areas of responsibility, and develop the job over time.
Key Duties and Responsibilities1. Hospitality & Snack Logistics
- Tea/Coffee Service: Prepare and serve tea/coffee to all staff members twice a day (every morning and evening).
- Snack Coordination & Logistics: Organize, plate, and present daily snacks neatly for employees. Handle the internal distribution and logistics of refreshments to ensure staff are served efficiently.
2. Office Administration & Operations
- Office Cleanliness: Monitor the daily work of the housekeeper, providing feedback for improvement to ensure the premises remain clean and tidy.
- Decluttering & Maintenance: Maintain office cleanliness by regularly removing scrap, papers, and broken items from the office and store rooms, coordinating directly with team members (e.g., Joyce).
- Supply Procurement: Procure and manage office supplies as needed to ensure a well-stocked, functional, and productive work environment.
- Mail & Courier Handling: Coordinate with the BPA mail-room to collect and process all incoming/outgoing couriers, posts, mail, and other physical correspondence.
- Record Keeping: Maintain an organized, computerized record of all incoming and outgoing items, and submit reports for review to senior leadership (e.g., Akhil Sir/SMT) as directed.
3. Finance & Banking Support
- Banking Transactions: Assist the finance team with routine banking tasks, including cash withdrawals, cheque deposits, and regular passbook updates as required.
- Deposits & Logistical Runs: Handle the day-to-day delivery and deposit of cheques or cash to banks and insurance companies on a regular basis.
- Utility Management: Facilitate the timely payment of office utility bills, including electricity, municipal taxes, mobile, broadband, and other recurring operational expenses.
Other Requirements & Expectations
- Flexibility: Remain present in the office on weekends and holidays if explicitly required and directed by the line manager.
- Confidentiality: Maintain absolute confidentiality at all times, ensuring strict respect for and adherence to the organization's confidentiality policies.
- Adaptability: Perform any additional operational tasks assigned by the line manager, and undertake any duties within your skills and abilities as requested from time to time.
Pay: Up to ₹20,000.00 per month
