Job Summary
The Senior Clerk will be responsible for handling administrative, educational, and government compliance-related work for the organization and its educational projects. The candidate must possess strong knowledge of Maharashtra Government education administration systems, including Zilla Parishad (ZP) procedures, UDISE management, school documentation, grant processes, and official correspondence.
The role requires a detail-oriented individual capable of coordinating with government offices, maintaining records, preparing reports, and ensuring timely compliance with state education department regulations.
Key ResponsibilitiesAdministrative & Compliance Work
- Maintain and manage official records, files, registers, and documentation.
- Handle government correspondence with departments such as:
- Zilla Parishad (ZP)
- Education Department
- Panchayat Samiti
- Block Education Office (BEO)
- UDISE authorities
- Draft official letters, notices, applications, and compliance reports in Marathi and English.
- Ensure adherence to Maharashtra Government education and administrative rules.
Education Department Coordination
- Manage and update UDISE+ data, school profiles, staff records, and student information.
- Coordinate for:
- School recognition and renewals
- Grants and approvals
- Student scholarship documentation
- Staff approval files
- RTE-related documentation
- Follow up on government schemes, circulars, and departmental updates.
Documentation & Reporting
- Prepare monthly, quarterly, and annual reports.
- Maintain attendance, salary, service books, and employee records.
- Organize audit documents and assist during inspections.
- Maintain digital and physical filing systems.
Office Management
- Supervise clerical activities and support junior administrative staff.
- Coordinate meetings and maintain meeting records/minutes.
- Ensure smooth day-to-day office administration.
Required Qualifications
- Bachelor’s Degree in any discipline (preferred: Commerce, Arts, or Administration).
- Minimum 5–7 years of experience in school administration, NGO administration, or government-related clerical work.
- Strong knowledge of:
- Maharashtra ZP Rules
- UDISE+ portal and procedures
- Education Department processes
- Government documentation and compliance systems
Required Skills
- Proficiency in MS Office (Word, Excel, PowerPoint)
- Marathi and English typing skills
- Strong drafting and documentation abilities
- Good understanding of government office procedures
- Record management and reporting skills
- Ability to work independently and meet deadlines
Preferred Candidate Profile
- Experience working with schools, educational trusts, NGOs, or government institutions.
- Familiarity with:
- School grant proposals
- Recognition files
