Job Description (JD) – Senior Soft Services Executive
Responsible for planning, coordinating, and executing all workplace events while ensuring a seamless experience for employees, visitors, and stakeholders. The role involves managing event logistics, vendor coordination, housekeeping support, cafeteria arrangements, employee engagement activities, budget tracking, and compliance with organizational standards.
Key Responsibilities
Event Planning & Execution:
Plan and execute corporate events, town halls, leadership visits, employee engagement activities, festive celebrations, and wellness programs.
Coordinate with internal stakeholders to understand event requirements and expectations.
Prepare event schedules, layouts, seating arrangements, and logistics plans.
Ensure timely setup and dismantling of event venues.
Soft Services Coordination:
Coordinate housekeeping, pest control, indoor plants, pantry, and cafeteria teams during events.
Ensure event venues are clean, presentable, and maintained as per company standards.
Manage branding materials, banners, standees, and promotional displays.
Budget & Documentation:
Track event budgets and optimize costs without compromising quality.
Maintain event calendars, attendance records, vendor contracts, and event reports.
Prepare monthly MIS reports on event utilization, expenses, and feedback
Compliance & Safety:
Ensure all events comply with workplace safety, fire, and security guidelines.
Conduct risk assessments and coordinate emergency preparedness measures.
Ensure adherence to company policies and statutory requirements
