Job Overview
We are looking for a compassionate, organised, and professionally presentable Hospital Receptionist to be the first point of contact for patients, visitors, and care providers. The ideal candidate combines strong administrative acumen with empathy, ensuring every patient interaction is handled with dignity and efficiency. Fluency in both English and the local language is essential to bridge communication gaps and deliver patient-centric service.
Key Responsibilities
Patient Registration & Front Desk Management
- Greet and register patients, visitors, and vendors in a courteous and professional manner.
- Manage patient check-in/check-out processes and maintain accurate admission records.
- Coordinate with nursing and medical staff for smooth patient flow.
- Handle appointment scheduling, rescheduling, and cancellations across departments.
Communication & Language Support
- Communicate clearly with patients in English as well as the local language (Bengali as applicable).
- Assist non-English-speaking patients in understanding procedures, billing, and appointments.
- Answer in-person, telephone, and email enquiries accurately and promptly.
Grievance Management
- Serve as the first point of contact for patient and visitor complaints and grievances.
- Listen empathetically, document grievances in the hospital's complaint management system, and assign them to the relevant department.
- Follow up with concerned departments and provide timely resolution updates to the complainant.
- Escalate unresolved or critical grievances to the Patient Relations Officer or Hospital Administrator.
- Maintain a monthly grievance log and assist in root-cause analysis to improve service quality.
Administrative & Records Management
- Maintain and update patient medical record files (physical and EMR/HMS systems).
- Coordinate billing inquiries, insurance verification, and guide patients to the billing counter.
- Manage visitor passes, entry registers, and access control at the reception.
- Prepare daily MIS reports on footfall, appointments, and complaint status for management review.
Qualifications & Education
- Bachelor's degree in Hospital Administration, Healthcare Management, Arts, or Commerce (preferred).
- Diploma or certificate in Front Office / Hospital Reception Management is an advantage.
Experience
- Minimum 1 year of experience in hospital administration, front desk, or healthcare reception roles (mandatory).
- Prior exposure to patient grievance handling or patient relations is highly desirable.
- Familiarity with Hospital Management Systems (HMS) / Electronic Medical Records (EMR) software.
