Position: Executive Assistant to CEO
Location: Mohali (Work From Office)
Shift Timing: 6:00 PM IST – 3:00 AM IST (Aligned with CEO’s Dallas, Texas schedule)
We are looking for a smart, proactive, and highly organized Executive Assistant to support the CEO in managing day-to-day business operations, communication, scheduling, and coordination across teams and stakeholders globally.
The ideal candidate should possess excellent communication skills, strong business understanding, professionalism, and the ability to work in a fast-paced environment with flexibility and ownership.
Key Responsibilities
- Manage the CEO’s calendar, meetings, appointments, and travel schedules efficiently.
- Coordinate with internal teams, clients, and external stakeholders across different time zones.
- Handle emails, follow-ups, meeting notes, and business communication on behalf of the CEO.
- Prepare presentations, reports, MOMs, documents, and business summaries.
- Prioritize tasks, track deadlines, and ensure smooth execution of daily operations.
- Assist in confidential business matters with professionalism and discretion.
- Conduct online research, vendor coordination, and operational follow-ups as required.
- Organize virtual meetings, conferences, and business discussions.
- Maintain records, reports, and important documentation systematically.
- Support the CEO in strategic planning, coordination, and special projects.
Required Skills & Qualifications
- Excellent verbal and written communication skills.
- Strong interpersonal and coordination abilities.
- Smart, confident, and presentable personality.
- Highly organized with strong multitasking skills.
- Flexible, adaptable, and capable of handling dynamic work situations.
- Strong command of MS Office, Google Workspace, presentations, and documentation.
- Ability to maintain confidentiality and professionalism.
- Quick learner with strong problem-solving abilities.
- Comfortable working in evening/night shift aligned with US timings.

- Graduate/Postgraduate from any discipline.
- Prior experience as an Executive Assistant, Coordinator, Admin, Operations, or similar role preferred.
- Freshers with exceptional communication and organizational skills can also be considered.
